Reporting to the Chief Financial Officer (CFO), the Office Manager will be responsible for a broad range of office support matters, including day-to-day office and executive administration, technology support for staff across the property in partnership with our outsourced IT provider, and a variety of property management tasks related to the company’s owned rental properties.
Responsibilities for this position will include:
Office and Executive Management:
- Oversee daily office operations, ensuring a clean, organized, and well-stocked workplace.
- Manage office supplies, equipment, and vendor relationships, including ordering and inventory tracking.
- Handle incoming mail, deliveries, and phone calls.
- Maintain organized filing systems (physical and digital) for company records, contracts, and correspondence.
- Support the HR team with new hire onboarding logistics, including workspace setup, supplies, and orientation materials.
- Ensure compliance with health, safety, and workplace policies.
- Provide administrative support to members of the Executive Team, including calendar management, correspondence, and document preparation.
- Coordinate travel arrangements, itineraries, visa applications, and expense reporting for the Executive Team.
- Prepare, proofread, and format reports, presentations, and communications on behalf of leadership.
- Handle sensitive and confidential information with discretion and professionalism. Act as a liaison between the Executive Team and staff, vendors, and external partners.
- Schedule and coordinate internal and external meetings, including booking meeting rooms/spaces and managing calendar invites.
- Prepare meeting agendas, materials, and minutes as needed.
- Coordinate logistics for larger meetings or events, including catering, equipment,
and attendee communications.
- Manage shared calendars and help resolve scheduling conflicts across the Executive Team and departments.
IT Support
- Serve as the primary internal point of contact with the outsourced IT managed service provider (MSP) for day-to-day technology needs.
- Field and triage staff technology issues (hardware, software, network, and account access), submitting and tracking support tickets with the MSP through resolution.
- Coordinate equipment setup, software installations, and account provisioning/deprovisioning for new hires and departing staff in partnership with the MSP.
- Maintain an inventory of company technology assets, licenses, and subscriptions. Communicate planned maintenance, outages, or IT policy updates from the MSP to staff.
- Escalate urgent or complex technical issues appropriately and follow up to ensure timely resolution.
Property Management
- Provide administrative support for the company’s portfolio of owned rental properties, including staff housing, working alongside property management staff and/or external contractors.
- Support the resolution of property management issues within the Osprey Valley property, escalating to the appropriate parties as needed.
- Track and help coordinate routine maintenance requests, service appointments, and vendor scheduling for rental units.
- Maintain organized records related to leases, tenant correspondence, inspections, insurance, and property files.
- Assist with tracking rent collection, utility accounts, and property-related invoices and expenses.
- Help coordinate move-in/move-out logistics and communicate with tenants and vendors as required.
- Support ad hoc property-related projects, research, and reporting as requested by the Executive Team.
Qualifications & Experience:
- 2+ years of experience in office management, administrative support, or executive assistance (property management experience an asset).
- Embracing and living our Common Purpose and Core Values as an organization. Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Comfortable acting as a liaison with outsourced service providers (e.g., IT/MSP, vendors, contractors).
- Proficient in all Microsoft Office applications.
- High level of discretion and sound judgment when handling confidential or sensitive information.
- Self-starter who works well independently and takes ownership of tasks.
- Familiarity with property management concepts (leases, maintenance coordination, vendor management) is an asset.
Preferred Qualifications
- Diploma or degree in Business Administration, Hospitality Management or related field
- Strong proficiency with Microsoft Office, particularly Excel, Word, Outlook and Teams
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential and sensitive information with discretion.
- Strong problem-solving and decision-making skills.
- Ability to work independently while collaborating effectively with multiple departments.
- Demonstrated ability to identify process gaps and implement administrative improvements.
