Job Overview

Design 1 Environmental Inspections is looking for a highly organized, capable Part-Time Administrative Assistant to become the glue that helps keep a busy and growing environmental consulting business running smoothly.

This is not a position where you will spend every day completing the same set of administrative tasks. Our projects move quickly, priorities change, technicians are in the field, clients need answers, reports need to get out the door, and new projects are constantly coming in.

We need someone who can keep track of the details, solve problems as they arise, and help make sure nothing falls through the cracks. The majority of your time will be spent in our Burnside office, but this is not strictly a desk job. There will occasionally be opportunities or requirements to attend active project sites to assist with documentation, coordination, record keeping, and other administrative duties.

Our work takes place in the environmental, construction, restoration, demolition, and hazardous-materials industries. You need to be comfortable working around construction environments and occasionally attending sites that may be dusty, dirty, noisy, or under renovation/demolition.

What You Will Do

Responsibilities may include

- Supporting the day-to-day administration of a busy environmental consulting company
- Organizing project files, laboratory documentation, field information, photographs, and reports
- Assisting with report preparation, formatting, proofreading, and document control
- Coordinating schedules between clients, field staff, laboratories, and management




- Tracking projects and following up on outstanding information or deliverables
- Preparing client correspondence and assisting with email communications
- Entering and organizing project and analytical data
- Helping ensure reports, results, and other deliverables are issued on time
- Maintaining organized digital and physical records
- Assisting with invoicing and other general office administration
- Occasionally attending project sites to assist with administrative coordination, documentation, photographs, or record keeping Identifying administrative problems and helping find practical solutions
- Taking on additional responsibilities as the business continues to grow

Who We Are Looking For The right person is someone who is extremely organized and naturally takes ownership. You don't need to know everything about environmental consulting when you start. You do need to be willing to learn quickly, ask good questions, and become someone the team can depend on.

You should be

- Highly organized with strong attention to detail
- A strong problem solver who doesn't need step-by-step direction for every task
- Comfortable managing several priorities at the same time
- Reliable and consistent with follow-through




- Confident communicating professionally with clients and team members
- Comfortable working independently and taking initiative
- Proficient with Microsoft Word, Excel, Outlook, and general computer-based administration
- Comfortable learning recent software, systems, and technical terminology
- Able to work in a fast-paced environment where priorities can change throughout the day
- Comfortable with the realities of the construction and environmental industry, including occasionally attending active, dirty, or dusty project sites
- Able to recognize when something has been missed and take initiative to get it resolved

Experience in administration, construction, engineering, environmental consulting, restoration, property management, or another project-based industry would be an asset, but it is not required.

We are looking for someone who becomes the person who knows what is happening, what is outstanding, and what needs to happen next.

You notice the unsigned document. You follow up on the missing laboratory result. You catch the typo before the report goes out. You remind the team about the deadline. You organize the information before someone has to ask for it.

In short: you help keep the business moving.

This position has the potential to grow in responsibility for the right person as they become familiar with our company, clients, and projects.
