MGM Auto Group is seeking a detail-oriented and highly organized Payroll & HRIS Administrator to join our team. This is a full-time position responsible for the day-to-day administration of payroll, time and attendance, and our HR information system.
We are currently transitioning to ADP Workforce Now, which will integrate payroll, time and attendance, employee information, vacation and sick time, onboarding, offboarding, and other HR processes into one platform.
The successful candidate will participate directly in the ADP implementation and training process and will become the primary administrator of payroll and ADP Workforce Now following implementation.
This is an excellent opportunity for someone with a payroll, accounting or bookkeeping background who is highly detail-oriented, comfortable working with numbers and systems, and interested in developing strong payroll and HRIS expertise.
Key ResponsibilitiesPayroll Administration
- Process bi-weekly payroll accurately and within established deadlines.
- Review employee timecards and manager approvals prior to payroll processing.
- Review and investigate payroll exceptions, including missing punches, overtime, vacation, sick time and unpaid absences.
- Process bonuses, commissions, wage changes, retroactive adjustments and other payroll changes.
- Maintain employee banking, deduction and payroll information.
- Review new hires and terminated employees to ensure accurate payroll processing.
- Assist with final pay calculations and Records of Employment.
- Investigate and correct payroll discrepancies.
- Respond to employee payroll inquiries in a professional and timely manner.
- Prepare payroll reports and reconciliations.
- Support payroll year-end activities, including T4 preparation and review.
- Maintain accurate and confidential payroll records.
ADP Workforce Now / HRIS Administration
- Act as the primary day-to-day administrator of ADP Workforce Now.
- Maintain employee profiles, departments, locations, positions and reporting relationships.
- Maintain payroll earning and deduction codes.
- Manage employee and manager system access and permissions.
- Support employees and managers with ADP questions and system issues.
- Maintain time and attendance settings and workflows.
- Monitor timecard approvals and follow up with managers regarding outstanding items.
- Prepare and maintain payroll, HR and workforce reports.
- Work with ADP support to troubleshoot system issues.
- Assist with testing system updates and configuration changes.
- Maintain accurate employee data across the HRIS.
HR Administration
- Set up new employees within ADP.
- Process employee status, compensation, position, department and location changes.
- Process employee terminations and offboarding updates within ADP.
- Maintain vacation and sick-time records.
- Assist with benefits administration and payroll deductions where required.
- Support HR with employee records, reporting and administrative projects.
- Maintain strict confidentiality of employee, payroll and financial information.
ADP Implementation Responsibilities During our transition to ADP Workforce Now, the successful candidate will work closely with HR, Finance, our current payroll processor and the ADP implementation team.
Responsibilities during the implementation period will include:
- Learning the Company's existing payroll processes.
- Participating in ADP configuration and implementation meetings.
- Reviewing employee and payroll data prior to migration.
- Assisting with payroll, timekeeping and HRIS configuration.
- Participating in parallel payroll testing.
- Comparing payroll results between the current payroll system and ADP.
- Identifying and resolving discrepancies prior to go-live.
- Learning manager approval and timekeeping workflows.
- Developing payroll and ADP procedures for ongoing administration.
Qualifications
- Post-secondary education in Accounting, Finance, Business Administration, Payroll, Human Resources or a related field is preferred.
- Previous payroll, accounting, bookkeeping or financial administration experience is strongly preferred.
- Previous payroll experience is an asset but we are open to candidates with a strong accounting background who are interested in developing their payroll expertise.
- Experience with ADP Workforce Now is required.
- Strong numerical and reconciliation skills.
- Strong attention to detail and commitment to accuracy.
- Comfortable learning new technology and software.
- Strong Excel and Microsoft Office skills.
- Ability to manage confidential and sensitive information.
- Strong organizational and time-management skills.
- Ability to work independently and meet strict payroll deadlines.
- Strong written and verbal communication skills.
- Comfortable communicating with managers regarding payroll, timecard and employee-data discrepancies.
- Ability to identify inconsistencies and investigate discrepancies rather than simply processing information as received.
The Ideal Candidate You are someone who naturally notices when something does not look right.
If an employee's hours, earnings or deductions are significantly different from normal, you investigate before processing the payroll.
You enjoy working with numbers, systems and processes and take pride in making sure information is accurate. You are comfortable following established procedures while also identifying opportunities to improve them.
You do not need to already be an ADP Workforce Now expert. We are looking for someone with a strong foundation in accounting, payroll or financial administration who is willing to learn the system and become our internal ADP expert.
