Grow With Us
Our HR and Payroll team is growing, and we’re looking for a Payroll Administrator who wants to grow with us.
This is a great opportunity for someone who enjoys the detail and accountability of payroll but also wants to be part of something bigger. You’ll join an experienced and supportive team of HR and Payroll professionals who believe in collaboration, continuous improvement, sharing knowledge, and finding better ways to serve our employees.
Payroll is ultimately about people. Behind every timesheet, earnings code, benefit deduction and pay statement is an employee counting on us to get it right. We take that responsibility seriously—and we’re looking for someone who does too.
You’ll have the opportunity to work with UKG, our HRIS platform, and help us continue building out its functionality as our business grows. You’ll also receive coaching and mentoring from a strong team while developing your knowledge across payroll, benefits, HRIS, reporting and HR operations.
What You’ll Do
Own the Details of Payroll
You’ll help deliver accurate, timely and reliable bi-weekly payroll for our hourly and salaried employees.
You will
- Support full-cycle bi-weekly payroll processing, ensuring accuracy and compliance with company policies, collective agreements and applicable legislation.
- Review and reconcile timesheets and timekeeping records and investigate discrepancies before they become payroll problems.
- Maintain payroll accruals and records related to vacation, special leaves, seniority and benefit eligibility.
- Maintain employee payroll information, including new hires, terminations, garnishments, leaves and employee profile changes.
- Support year-end payroll activities, reconciliations, T4s, reporting and variance analysis.
- Reconcile and remit union dues, humanity funds and other required contributions.
- Work with collective agreements and apply their payroll-related provisions accurately and consistently.
Be a Go-To Payroll Resource for Our Employees Great payroll service is about more than processing transactions. Our employees are our customers, and we want their experience with Payroll and HR to be a great one.
You will
- Respond to employee questions about pay, perks, timesheets, timekeeping and payroll processes with patience, professionalism and a service mindset.
- Provide payroll-related training and troubleshooting support, including timesheet completion, timeclock use, earnings code definitions, employee profile updates and other payroll processes and system-related issues.
- Help employees understand their pay and resolve issues accurately and respectfully.
- Work closely with supervisors and HR to resolve payroll,
attendance and employee-related questions.
- Assist with employment letters, disability documentation and other payroll and HR-related employee requests.
Help Us Get Even More From UKG We have an exciting HRIS platform in UKG, with plenty of functionality and opportunity ahead of us.
You won’t be expected to own the HRIS. Instead, you’ll bring your payroll knowledge to the table and help us continue improving how we use the system.
You will
- Support the HR team with HRIS-related projects and initiatives, providing payroll expertise and support as required.
- Participate in testing, implementation and continuous improvement of payroll and timekeeping functionality.
- Help identify opportunities to make our payroll and HR processes simpler, more accurate and more efficient.
- Work collaboratively with the HR team to develop dashboards and collect meaningful payroll and workforce metrics to support reporting and informed decision-making.
- Bring forward ideas. We want someone who notices when there might be a better way to do something and is comfortable sharing it.
Support Benefits and Leaves You’ll also play an important role in supporting our employee benefits and leave processes, including:
- Administering employee benefit programs and maintaining accurate benefit information.
- Supporting employees with benefit claims and related documentation.
- Tracking disability leaves and supporting the HR team with gradual return-to-work processes.
- Maintaining accurate and confidential employee information.
What You Bring You don’t need to know everything on day one. We have an experienced team that believes in coaching, mentoring and helping one another succeed. We do, however, need someone with a strong payroll foundation and a genuine interest in learning and improving.
Ideally, you bring:
- A minimum of three years of full-cycle payroll experience, including exposure to benefits administration.
- Experience working in a unionized environment and interpreting collective agreements. This would be a strong asset.
- Payroll Compliance Professional (PCP)certification through the National Payroll Institute, or relevant payroll education and experience.
- Post-secondary education in payroll, accounting, bookkeeping, business administration or a related area.
- Experience working with payroll, HRIS,
and time and attendance systems. UKG experience would be an asset, but curiosity and the ability to learn systems are equally important.
- Strong Excel skills and an interest in using data and reporting to make better decisions.
- Knowledge of payroll principles, employment standards and accounting fundamentals.
- Excellent attention to detail—you understand that small details matter when they affect someone’s pay.
- Strong communication and customer-service skills.
- The ability to manage competing priorities and deadlines in a busy payroll environment.
- Sound judgment and discretion when working with confidential employee information.
Most importantly, you’re someone who enjoys being part of a team. You ask questions, share what you know, look for ways to improve processes and care about providing employees with a positive experience. Why Join Us?
We want this to be a place where you can do great work and continue building your career.
Here are a few things you can expect:
- Your birthday off—because there are better ways to spend your birthday than working
- Comprehensive benefits
- RRSP program
- Incentive plan
- Coaching and mentoring from an experienced HR and Payroll team
- Opportunities to expand your payroll, HRIS, reporting and HR knowledge
- Hands-on experience with UKG and the opportunity to help us build out more of its functionality
- A team that values continuous improvement and welcomes new ideas
- The opportunity to contribute as our organization and HR team continue to grow
- The choice of working from our Newton, or Cloverdale location, both conveniently located near bus routes
The Opportunity We’re building our team. We’re continuing to develop our systems. We’re looking at our processes and asking how we can make them better. And we want our employees to know that when they reach out to Payroll or HR, they’re going to receive knowledgeable, helpful and respectful service.
If you’re a payroll professional who likes getting the details right, enjoys helping people, is curious about technology and wants the opportunity to learn from a strong team while contributing your own ideas, we’d love to hear from you.
