We are seeking a Private Bar Clerk to support our Head Office in Saskatoon. Under the supervision of the Director of Private Bar Services, provides administrative, accounting, auditing and reporting services for the Private Bar Department. Works and coordinates with related departments including Finance and Operations.

Our Private Bar Clerks earn from $47,822.52 and based on combination of education and experience up to $63,186.40 annually. Key Responsibilities
- Provides Band 3-level support to Private Bar Services Department and Court Appointed Counsel Program.
- Prepares, edits, formats, and distributes correspondence, reports, spreadsheets, presentations, and other documents.
- Maintains electronic and physical filing systems.
- Monitors and manages shared inboxes, phone lines, and administrative workflows.
- Processes forms, invoices, expense claims, and other administrative documents.
- Responds to inquiries professionally and directs requests to appropriate resources.
- Maintains positive working relationships with internal and external stakeholders.
- Organizes and maintains accurate records and databases.
- Ensures information is handled in accordance with organizational policies and confidentiality requirements.
- Assists with records retention, storage, and disposal processes.
- Participates in special projects and perform other duties as assigned
- Activities are performed within a framework of established operational procedures,
policies and guidelines where limited judgement must be exercised to determine applicability using some standardized solutions and manage work plans and priorities.
- Work processes or functions are comprised of interrelated tasks or activities which vary over time requiring moderate planning. Position has independence on day-to-day operational matters.
- Work is reviewed periodically. Problems of an unusual nature are escalated to Senior Private Bar Administrative Clerk or to the Director of Private Bar Services.
- The position includes contact with clients, justice system partners, particularly private bar lawyers and administrative staff, and other members of the public which involve the explanation and interpretation of policies, procedures, acts and regulations.
- Contact may extend to the determination of the appropriate action as a result of the contact or the determination of alternate courses of action. The position often acts as the liaison for Private Bar Panel members/offices and the Director of Private Bar Services.
Education, Experience and Abilities
- High school graduation and one year of relevant post-secondary education, or an equivalent combination of education and experience.
- Minimum of one year of previous related experience.
- Ability to demonstrate excellent verbal and written communication skills is required.
- Ability to demonstrate strong organizational and time-management skills is required.
- Attention to detail - thoroughness and accuracy when performing tasks is required.
- Ability to work within time sensitive deadlines, multi-task and set priorities is required.
- Ability to demonstrate technological competency: above average knowledge of Microsoft 365 (Outlook, Word, Excel, SharePoint, One Drive, and other related MS apps and tools ), PDF software, LAIN (or other relational database) is required.
- Assets:
- Experience in account settlement / taxation
- Knowledge and familiarity with accounting or auditing and related software
- General knowledge of the practice of law
- Experience in criminal and family law administrative procedures
