SALARY RANGE: $60,195.10 - $69,700.80 per year (based on qualifications)

Neecheewam Inc. is looking for a Program Manager for the Little Butterfly Lodge that has the capacity to live and work by the values and philosophies stated in the Neecheewam inc. Finance and Policy Manual and contributes to the overall success of the organization.

This position reports to the Acting Director of Program Services and is responsible for the efficient administration of the organization’s license care facility as per the Provincial Licensing Standards Manual and the Program Manual.

RESPONSIBILITIES AND DUYIES:

ADMINISTRATION

· Review all relevant program documentation including but not limited to intakes, discharges, assessments, case notes, incident reports, and meeting minutes;

· Oversee all records and documents for the program and ensure all information that enters the program is shared with Neecheewam head office, as applicable;

· Write letters and memos;

· Schedule and attend meetings;

· Maintain all records including client files and employee files;

· Maintain confidentiality of personnel records where files are shared with Human Resources (Human Resources to maintain master employee files);

· Collect, compile, and review program statistics and feedback;

· Prepare, edit, and submit reports and documentation as necessary, including quarterly and annual reports around program statistics, evaluation, and feedback, daily summaries of activities and incidents, recommendations for future services, and analysis of overall program effectiveness;

· Oversee the collection of statistical information, and develop monthly reports;

· Use data collection to identify trends, analyze issues and forecast program needs in collaboration with the Team Lead.

LEADERSHIP AND MANAGEMENT

· Responsible for providing orientation, regular supervision and mentorship to all staff members under their supervision;

· Effectively manage staffing responsibilities of team;

· Work with Human Resources in recruiting, hiring, and terminating staff, as per Neecheewam policies, Provincial Licensing Standards, the MGEU collective agreement, Workplace Health and Safety and Labour Standards;

· Oversee orientation process for recent hires;





· Create learning plans to identify and assist with professional development;

· Assess training needs and facilitate training opportunities when available;

· Organize team meetings on a regular basis as required;

· Oversee scheduling for full, part-time, and casual program staff;

· Ensure policies and procedures are developed, implemented, monitored, and evaluated to maintain compliance with applicable legislation and standards;

· Ensure staff are adhering and complying to Neecheewam policies and procedures, as well as provincial licensing standards;

· Encourages staff to participate in problem solving and decision-making to optimize the clinical, outcomes in all service areas;

· Assist Team lead with direct oversight of program activities by establishing service standards in the Program Manual and ensuring standards are met;

· Mentor and Coach staff in all areas of child development, de-escalation of crisis situations, trauma informed care, counseling skills, and therapeutic relationships and system planning;

· Identify and assess youth wellness plans on an ongoing basis and make modifications as necessary, engaging appropriate supports.

COMMUNICATION AND COORDINATION

· Ensure that all relevant information is forwarded between the program and Neecheewam head office;

· Contact government and agency personnel regarding various administrative issues specific to the program;

· Attend management and program meetings to ensure information is shared between staff, program, and management to support effective program delivery;

· Maintain collaborative relationships with community and partner agencies;

· Facilitate resident specific meetings with multidisciplinary team and outside collaterals as required (i.e. intake, discharge, transitional planning, etc.);

· Responsible for overseeing case management within a multidisciplinary team including coordination of intakes, case reviews, case treatment plans, and making recommendations to help delegate supports and resources;

· Coordinate and oversee program activities and group outings, particularly engaging in cultural activities and ceremonies as often as possible for the therapeutic benefit of youth.

LODGE ENVIRONMENT

· Responsible for maintenance and cleanliness of physical property, furniture, appliances, building, and yard;

· Responsible for overseeing and coordinating maintenance/upkeep of program vehicles;

· Purchase furniture, appliances, and other household items, as required;

· Establish all procedures and routines related to health and safety of staff and residents in conjunction with Neecheewam Workplace Health and Safety Advisory group/committee;





· Ensure regular fire drills are conducted and regular inspections of the facility with a focus on fire extinguishers, fire escapes, smoke alarms, and locks and any other Occupational Health and safety related compliance issues are completed;

· Ensure Emergency Plans are reviewed with staff and update as needed, and first-aid kits are supplied and maintained;

· Responsible for overall functioning of a nurturing, safe, therapeutic environment, including engagement with participants;

· Collaborate with program supervisor to ensure the maintenance of licensing standards and other appropriate program reporting systems;

· Reviews all incidents involving participants and as appropriate ensures a plan is developed to address the issues that contributed to the occurrence of the incident.

FINANCE

· Ensure financial accountability of program funds;

· Develop and manage program budget.

· Maintain bank accounts and petty cash accounts;

· Develop and maintain a system for tracking expenditures/transactions;

· Monitor and submit time sheets.

OTHER FUNCTIONS

· Assist in planning and implementation of other functions, such as team building events;

· Purchase items for the office and program area;

· Maintain up-to-date knowledge of new developments, research and best practice programs related to Child and Youth Care;

· Continually upgrade skills and expertise relative to the job task and to the field;

· Participate in rotational on-call duties;

· Assist with program evaluation and reporting results to the Acting Director of Program Services, Executive Director, the Board of Directors, and collateral agencies as required

· Performance of other duties as assigned by the Acting Director of Program Services.

QUALIFICATIONS:

EDUCATION AND EXPERIENCE:

Grade 12 High School diploma or GED, Youth Care Practitioner Diploma, Minimum of 1 year of experience working in a group home setting. Minimum of 4 years of Management experience in related field.

Current First Aid CPR Certificate

Current Manitoba Driver’s license

Drivers Abstract
