Project Coordinator – Mechanical/HVACCompany Overview

We are looking for an organized, motivated, and detail-oriented Project Coordinator to join our team in Winnipeg, Manitoba. This position will work closely with Project Managers, field staff, subcontractors, suppliers, and clients to help ensure mechanical projects are completed safely, efficiently, on schedule, and within budget.

Position Overview The Project Coordinator will provide administrative, organizational, and technical support throughout the life of a project. The successful candidate will help coordinate project documentation, scheduling, procurement, subcontractors, change orders, progress billing, and communication between the office and field.

Experience in mechanical contracting, HVAC, plumbing, refrigeration, construction, or general contracting is considered an asset.

Key Responsibilities

- Assist Project Managers with the planning, coordination, and administration of commercial mechanical projects
- Coordinate with field supervisors, tradespeople, subcontractors, suppliers, consultants, and clients
- Assist with project scheduling and tracking project milestones
- Prepare, organize, and maintain project documentation
- Review drawings, specifications, purchase orders, and project documents
- Assist with material and equipment procurement and tracking
- Obtain pricing and quotations from suppliers and subcontractors
- Assist with change orders, requests for information (RFIs), submittals, and other project correspondence
- Track project costs, commitments, and progress
- Assist with progress billings and supporting documentation
- Coordinate deliveries and equipment requirements with the project team




- Follow up with suppliers and subcontractors regarding pricing, lead times, deliveries, and outstanding items
- Maintain accurate project records and filing systems
- Assist Project Managers with project closeout documentation
- Communicate professionally with clients, contractors, consultants, and suppliers
- Help identify potential scheduling, material, or coordination issues before they impact the project
- Perform other project-related administrative and coordination duties as required
- Mechanical, Gas, permits
- Perhaps autocad work
- O&Ms; Manuals

Qualifications & Skills
- Previous experience in construction, project coordination, project administration, or a related field
- Experience with mechanical/HVAC, plumbing, refrigeration, or general contracting is an asset
- Strong organizational and time-management skills
- Excellent attention to detail
- Robust written and verbal communication skills
- Ability to manage multiple projects, priorities, and deadlines
- Comfortable working with contractors, trades, suppliers, and clients
- Ability to read and understand construction drawings and specifications is an asset
- Strong computer skills, including Microsoft Office
- Experience with construction/project management software is an asset
- Ability to work independently while also working effectively as part of a team
- Valid driver's license
- Must be legally entitled to work in Canada

Construction or project coordination experience is preferred. Mechanical/HVAC experience is an asset.
