Role Summary

We are seeking an experienced and highly organized Project Manager to lead the successful planning, execution, and delivery of multiple creative, editorial, and event-based initiatives. This leadership role is responsible for overseeing project strategy, managing cross-functional teams, ensuring operational excellence, and maintaining strong relationships with clients, vendors, and stakeholders. The ideal candidate is an exceptional leader with extensive project management experience who can confidently drive projects from concept through completion while mentoring team members and ensuring accountability across the department.

Roles & ResponsibilitiesLeadership & Team Management

- Lead, mentor, and manage the Project Coordination team, ensuring consistent high level of performance, accountability, and professionalism
- Oversee team workload, priorities, deadlines, budgets and resource allocation to ensure projects are delivered efficiently.
- Conduct regular performance evaluations, provide coaching, and support employee growth and development.
- Foster a collaborative, solution-oriented, and high-performing team culture.
- Identify workflow improvements and implement processes that increase efficiency and consistency across the department.
- Work closely with the Principal/Creative Director to establish department goals, project priorities, and long-term operational strategies.
- Ensure projects stay on time and on budget
- Work with HR on performance evaluations for team

Project Management
- Collaborate with and support the Principal/Creative Director in implementing a 24-month advance planning cycle for client projects and major initiatives.
- Develop and oversee comprehensive project plans, workback schedules, budgets, and resource planning for multiple concurrent projects.
- Ensure all creative, editorial, print, and event projects remain on schedule, within scope, and within budget.
- Identify project risks and proactively implement mitigation strategies.
- Lead project meetings, communicate priorities, and ensure alignment across all internal teams.
- Conduct post-project reviews and implement process improvements based on lessons learned.
- Review and approve project documentation prepared by Project Coordinators and Project Assistants.
- Ensure project documentation, timelines, inventories,



and reports remain accurate and up to date.

Budget & Financial Management
- Develop, monitor, and manage project and event budgets ranging from concept through final reconciliation.
- Track project profitability, expenses, purchase orders, invoices, and vendor payments.
- Identify opportunities for cost savings while maintaining quality and client expectations.
- Prepare financial forecasts and budget reports for leadership.
- Ensure projects remain financially aligned with company objectives.

Event Management
- Lead the planning and execution of large-scale events, including the Fête Chinoise Signature Event Series, galas, magazine launches, and special projects.
- Oversee all event logistics including venues, catering, vendors, exhibitions, rentals, audiovisual production, photography/videography, transportation, permits, and contracts.
- Manage vendor negotiations and maintain robust supplier relationships.
- Direct on-site event operations, ensuring exceptional execution and immediate resolution of issues.
- Lead project teams during event setup, execution, and breakdown while ensuring timelines and quality standards are achieved.

Stakeholder & Client Management
- Serve as the primary point of contact for clients, sponsors, vendors, partners, and internal stakeholders.
- Build and maintain long-term strategic relationships that support company growth.
- Lead client meetings, present project updates, manage expectations, and resolve concerns professionally.
- Ensure all communications reflect PALETTERA’s high standards of professionalism.

Strategic Planning & Brand Growth
- Support leadership with annual business planning, forecasting, budgeting, and operational improvements.
- Provide strategic recommendations that strengthen brand visibility and business growth.
- Identify opportunities for new partnerships, sponsorships, and business development.

Editorial & Creative Operations
- Oversee editorial production schedules for Fête Chinoise Magazine and other publications.
- Coordinate cross-functional collaboration between designers, writers, photographers, printers, and external vendors.
- Ensure projects meet creative, editorial, quality, and production standards.

Networking & Industry Representation




- Represent PALETTERA and Fête Chinoise at networking events, industry functions, media opportunities, and client meetings.
- Strengthen existing relationships while identifying opportunities for new partnerships and collaborations.

Grants & Awards
- Oversee the preparation and submission of grant and award applications.
- Ensure all submissions meet eligibility requirements and deadlines.

Qualifications & Requirements
- Minimum 10 years of professional experience in Project Management, Event Management, Agency Operations, or a related leadership role.
- Minimum 5 years of experience leading and managing teams, including coaching, performance evaluations, workload management, and employee development.
- Proven experience managing multiple large-scale creative, editorial, print, and event projects simultaneously.
- Strong experience managing project budgets, financial forecasting, vendor negotiations, and cost control.
- Demonstrated ability to lead cross-functional teams while maintaining accountability for timelines, deliverables, and quality standards.
- Excellent organizational, problem-solving, and decision-making skills.
- Exceptional written and verbal communication skills with strong stakeholder management experience.
- Advanced proficiency in Microsoft Excel, Word, project management software, and scheduling tools.
- Experience working in a creative agency, branding, publishing, or event environment is highly preferred.
- Ability to thrive in a fast-paced environment while maintaining exceptional attention to detail.
- Minimum typing speed of 70 WPM with high accuracy (95%+).

Employment Details
- Job Type: Full-time
- Salary: $75,000–$90,000 per year
- Work Location: In-person (Markham, ON L3R 0N3)
- Ability to commute/relocate: Reliably commute or plan to relocate before starting work (preferred).
