The Role:
As a Project Manager, you will be responsible for overseeing estate projects from assignment through completion.
You will serve as the primary point of contact for assigned estates and will coordinate contractors, field staff, service providers, and stakeholders to ensure each estate progresses smoothly and efficiently.
This role combines project management, relationship management, problem-solving, and operational coordination. No two estates are the same, and successful candidates must be comfortable managing multiple moving parts while maintaining a high level of professionalism and attention to detail.
Key Responsibilities:
Estate Ownership
- Assume responsibility for assigned estates from intake through completion
- Review estate requirements and develop an execution plan
- Establish priorities, timelines, and project milestones
- Ensure all work is completed according to client expectations and company standards
Client & Stakeholder Communication
- Serve as the primary contact for assigned trust officers, executors, building managers, realtors, beneficiaries, and other stakeholders
- Provide regular status updates and progress reports
- Respond to questions and resolve day-to-day issues
- Maintain professional and proactive communication throughout the project lifecycle
Project Planning & Coordination
- Identify resources required to complete each estate
- Coordinate with the Operations Coordinator regarding staffing, scheduling, and contractor requirements
- Monitor project timelines and adjust plans as necessary
- Ensure project activities occur in the proper sequence
Contractor & Vendor Management
- Coordinate and oversee contractors and service providers
- Obtain and review estimates when required
- Monitor quality and completion of contracted work
- Resolve issues related to contractor performance or scheduling
Site Visits & Field Oversight
- Conduct site visits as required
- Assess project progress and identify potential issues
- Provide direction to Team Leads regarding priorities and expectations
- Ensure work is completed safely and professionally
Problem Solving & Escalation Management
- Identify risks, delays, or obstacles that may impact project completion
- Develop solutions and corrective actions
- Escalate significant issues to senior management when appropriate
Documentation & Project Tracking
- Maintain accurate project information within company systems
- Ensure project updates, milestones, and issues are properly documented
- Support company standards for project visibility and accountability
Qualifications
Required
- Strong organizational and project management skills
- Excellent communication and interpersonal abilities
- Ability to manage multiple projects simultaneously
- Strong problem-solving and decision-making skills
- High level of professionalism and discretion
- Ability to work independently and take ownership of outcomes
- Legally eligible to work in British Columbia
- Valid driver's license and willingness to travel to project sites
- Completion of a criminal record check prior to being hired
Preferred
- Experience in project management, property management, restoration, construction coordination, estate services, or a related field
- Experience working with contractors, trades, or service providers
- Experience managing client relationships
- Familiarity with project management software and digital workflow systems

Experience in estate management is not required. We are looking for someone with strong project coordination instincts, sound judgment, and the ability to manage relationships professionally.
