SUMMARY OF THE ROLE:

Reporting to one of our Property Managers, you are an accomplished Property Administrator who provides administrative support for a designated Property Manager and the Property Management team.

WHAT YOU’LL DO:

- Provide support for all aspects of day-to-day activities for assigned buildings in the portfolio.
- Assist in preparation of monthly reports and variance analysis.
- Assist with preparation for the annual budget process for assigned buildings within the portfolio.
- Accounts Payable; issue Purchase Order numbers, process invoices, follow up with contractors on invoicing, and reconcile monthly accruals.
- Accounts Receivable; distribute rent notices, process deposits, work with tenants to answer year-end reconciliation questions, process security deposits and prepaid rent, issue chargeback notices, reconcile accounts, and collect outstanding balances.
- Produce and distribute tenant memos, letters, and other communications.
- Tenant Service; respond to tenant inquiries and direct requests to the appropriate parties (Building Operator, Property Manager, etc.).
- Collect and review tenant insurance certificates, confirming adherence with lease provisions.
- Act as a point of contact between Building Operators and contractors.
- Administer Requests for Pricing, collect quotes, and compile packages as required.
- Receive and respond to special event and charity requests for access to properties.
- Assist vendors and outside agencies with general inquiries.
- Monitor and track vacant unit utility accounts.
- Review and comfortably understand leases and ensure accurate information is received and maintained.
- Maintain and update security deposit reports.
- Maintain and update tenant information, including emergency contact information.
- Assist in maintaining information in various online property directories.
- Assist and support with event management and special projects as required.
- Maintain online filing system for tenant, operations, correspondence, and general building files.




- Assist and provide support as needed to other Property Administrators.
- Other duties as required.
- Champion Royop’s organizational culture, employee policies, and occupational health and safety initiatives.

WHAT YOU’LL HAVE:

Qualifications & Technical Skills

- 4+ years of Retail and/or Office property management experience.
- General accounting and/or bookkeeping experience.
- Intermediate to advanced proficiency in Microsoft Office suite including Outlook, Word, Excel, and ADOBE Acrobat Pro. Experience with Yardi is preferred.
- Strong organizational and administrative skills, able to multi-task and manage competing priorities and tight deadlines with quality and accuracy first.
- Proven customer service and problem-solving skills.
- An eagerness to champion and promote Royop’s organizational culture and values.

WHERE YOU’LL WORK:

- Working out of our Sherwood Park office, during regular business hours from 8:30 a.m. to 4:30 p.m.
- Flexibility with occasional personal appointments and commitments.




- Some out of town or offsite travel may be required from time to time.
- Periodic travel to properties for site visits with the Property Manager will be required.
- This role requires the ability to work remotely during pandemic-related situations, with access to a suitable computer and a secure, reliable internet connection. Royop will provide the necessary tools to securely access our work systems.
