Front Desk Operations:
We are seeking a friendly, organized, and compassionate Receptionist to join our team at Arabella Retirement Living . The Receptionist is the first point of contact for residents, families, and visitors, providing a welcoming and supportive workplace. This role plays a critical part in ensuring smooth daily operations, assisting with administrative tasks, and offering exceptional customer service to our elderly residents.
Key Responsibilities:
- Greet residents, families, and visitors in a warm and professional manner.
- Answer phone calls, take messages, and direct inquiries to appropriate staff members.
- Monitor and manage sign-in/sign-out logs for visitors, contractors, and deliveries.
- Ensure the lobby area remains neat, tidy, and welcoming at all times.
Administrative Support:
- Assist with scheduling appointments, meetings, and transportation for residents.
- Perform general office duties such as filing, faxing, and photocopying.
- Maintain accurate and up-to-date resident and visitor records.
- Assist with managing resident mail, including sorting, distributing, and ensuring timely delivery.
Resident Interaction:
- Respond to resident requests and concerns promptly and with empathy.
- Coordinate with healthcare providers, social workers, and other staff to ensure residents' needs are met.
- Monitor the safety and well-being of residents in common areas.
Communication:
- Maintain open communication between staff, residents, and families.
- Assist with internal communications and announcements as needed (e.g., meal times, activities, emergency alerts).
- Ensure that all emergency procedures are communicated clearly and acted upon as needed.
- Safety and Security:
- Monitor security cameras and alarm systems to ensure the safety of the building and residents.
- Assist with emergency response protocols,
including directing emergency personnel to the correct location.
- Ensure the reception area is always accessible to authorized personnel only.
Additional Duties:
- Assist with special events, resident activities, and community outreach programs.
- Perform other duties as assigned by the Office Manager or Administration.
Qualifications:
- High school diploma or equivalent (some college or vocational training preferred).
- Previous experience in a customer service, receptionist, or administrative role, preferably in a healthcare or senior living environment.
- Excellent communication skills, both verbal and written.
- Ability to manage multiple tasks in a busy environment.
- Compassionate, patient, and understanding demeanor when working with elderly residents.
- Strong organizational and time management skills.
- Proficient in basic office software (Microsoft Office Suite, email, etc.).
- Ability to maintain confidentiality and adhere to HIPAA regulations.
- Ability to stay calm in emergency situations and follow protocols accurately.
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Light lifting and carrying (e.g., office supplies, packages).
- Must be able to assist with resident mobility if necessary (e.g., offering support to walk or move around the reception area).
