This position is primarily focused on answering customer calls, booking service appointments, coordinating technicians, and dispatching daily service jobs. The ideal candidate is friendly, organized, comfortable on the phone, and able to manage multiple priorities in a busy office environment.
Responsibilities
- Answer incoming customer calls professionally and courteously
- Handle service inquiries and book HVAC service appointments
- Schedule and dispatch technicians based on availability, location, and job priority
- Communicate appointment details and schedule changes with customers and technicians
- Maintain and update customer, job, and scheduling information
- Perform accurate data entry and maintain organized records
- Print invoices and prepare service-related paperwork
- Follow up with customers regarding appointments when required
- Assist with incoming and outgoing mail, documents, and deliveries
- Provide general administrative support to the office team
- Maintain confidentiality of customer and company information
Qualifications
- Minimum 1 year of office, dispatch, reception, or customer service experience preferred; but willing to train the right motivated candidate
- Strong customer service and telephone communication skills
- Comfortable handling a high volume of incoming calls
- Excellent organization and time-management skills
- Ability to prioritize and adjust schedules in a fast-paced environment
- Strong attention to detail and accuracy
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Familiarity with Google Workspace is an asset
- Strong computer skills and ability to learn current software quickly
- HVAC, trades, service dispatch, or scheduling experience is an asset but not required
Pay: $18.25-$25.00 per hour
