Role Overview:
Our Vancouver office is currently recruiting for a Trust Officer in our Accounting Department, reporting to the Director, Finance. The successful candidate must be able to work independently as well as being flexible with great communication and client service skills.
The successful candidate will be responsible for:
Strategic Event & Sponsorship Management
- Event intake and assessment: Leading a structured intake process to evaluate event and sponsorship requests, liaising with lawyers and colleagues to ensure successful execution and ensuring alignment with firm priorities, target audiences, and business development objectives.
- Scope development: Defining event purpose, format, budget, KPIs, and required resources; prepare recommendations for internal stakeholders and oversee/direct CRM updates and ensure the overall quality and accuracy of event invitation lists.
- Event planning and execution: Overseeing end‑to‑end planning for client events, conferences, seminars, webinars, hospitality engagements, and firm‑hosted programs.
- Sponsorship activation: Managing sponsorship deliverables, negotiate benefits, coordinate branding, and ensure the firm maximizes visibility and relationship‑building opportunities.
- Scheduling and project management: Maintaining the national events calendar, manage timelines, and ensure all milestones and deliverables are met.
- Vendor and venue management: Sourcing and managing external partners, negotiate contracts, and ensure high‑quality service delivery.
- Budget oversight: Developing and managing event budgets, track and process expenditures, and ensure cost‑effective execution.
- Measurement and reporting:
Conducting post‑event evaluations, analyze ROI, and provide insights to improve future initiatives.
Client Experience Leadership
- Client‑focused programming: Designing and refining event experiences that reflect the firm’s service standards and deepen client engagement.
- Brand and experience consistency: Ensuring all events and sponsorships reflect the firm’s brand, values, and client‑service expectations.
- Cross‑functional collaboration: Partnering with Marketing, Business Development, Communications, and Practice Groups to deliver cohesive, strategic experiences.
Client Gifting & Merchandise Program
- Overseeing the execution of the firm’s client gifting and branded merchandise program, including inventory tracking, vendor coordination, and order fulfilment.
- Ensuring quality control and alignment with brand standards and approved guidelines.
Team Leadership & Management
- Team supervision: Leading, mentoring, and developing one junior team member, providing coaching, performance feedback, and professional development opportunities. Work in collaboration with additional team members in our Vancouver and Calgary offices.
- Workflow and capacity management: Allocating projects, balance workloads, and ensuring efficient, high‑quality execution across the national events portfolio.
- Process improvement: Establishing best practices, templates, and standardized procedures to enhance team efficiency and event consistency.
- Collaboration and culture building: Fostering a supportive, high‑performance team environment grounded in accountability, creativity, and service excellence.
The successful candidate must have the following education, experience and/or demonstrated skills:
- Six (6) or more years of progressive event planning experience
- Strong knowledge of and relationships with local hospitality-related vendors, business markets and key business and industry organizations
- Law firm experience strongly preferred; qualified services or consulting experience will be considered
- Undergraduate degree, preferably with additional relevant education or equivalent work experience
- Proactive self-starter,
creative and strategic thinker who can take ownership of their responsibilities and see them through with minimal oversight – this is a hands-on role that requires strategic thinking and tactical execution
- Able to organize and prioritize numerous tasks and complete them under pressure while maintaining attention to detail
- Strong interpersonal and communication skills, able to follow instructions from a diverse group of lawyers and staff, and provide thoughtful, timely and clear communication to stakeholders and team members.
- Works well in a team environment and independently.
- Strong writing skills with the ability to write targeted internal and external communications material with minimal oversight.
- Comfortable with ambiguity and seeking out additional information to meet deliverables and desired outcomes.
- Demonstrates respect, kindness, and professionalism in interactions with colleagues, and actively contributes to a positive team culture.
Employment Type: Permanent, Full-Time
Salary: $100,000 – $115,000 Annually (commensurate with skills and experience)
