This role is at the heart of our service operations—supporting customers, coordinating technician schedules, preparing work orders and quotations, maintaining accurate documentation, and helping ensure completed work is billed correctly.

We’re looking for an organized, customer-focused professional who communicates clearly, adapts as priorities change, and enjoys keeping people and processes moving.

The Service Operations Coordinator manages the schedules and day-to-day operations for the ITM Division of Constant Fire Protection Systems. He/She/They are responsible for supporting customer inquiries for one-off repairs and maintenance services (preventative maintenance plans). Day-to-day responsibilities include answering customer inquiries for service, issuing workorders, scheduling services, invoice generation, and supporting customer satisfaction.

He/She/They must be able to manage a group of diverse customers and personnel in a professional manner. The work environment is fast paced, and the Service Division Coordinator will need to be able to make quick and sound decisions.

Reporting Relationships

The Service Operations Coordinator reports to the ITM Division Manager with oversight from the Operations Manager. He/She/They will work closely with ITM Division Manager, Office Administration, and Service Operations team (Technicians and Estimators).

Key Accountabilities & Responsibilities:

- Coordinates the technical and logistic support for Technical Service Personnel.
- Serves as the initial point of contact for the ITM Division.




- Schedules and coordinates Service Technicians by providing long- and short-range forecasting to ensure best match of individual capabilities.
- Generate work orders, change orders, invoices, and reports as needed. Ensure all required documents are included, filled out completely and accurately, and filed properly.
- Ensures service utilization is both maximized for excellent customer service and
- profitability.
- Other duties as required.

Professional Qualifications:
- Post-secondary education is considered an asset.
- Minimum of 3 -5 years of service coordination experience in a high paced setting.
- Problem solving skills with excellent time management and prioritization skills.
- Experience with office management systems, work orders, change orders and scheduling is required.
- Proficiency with MS Office (Word, Excel, etc.) required.
- Experience with construction management software is an asset.
- Must have excellent customer service skills and a customer focused approach.
- Must be comfortable addressing customer inquiries with a solutions-oriented mindset.
- Strong communication and interpersonal skills with good patience and professionalism.
- Highly organized and reliable with the ability to prioritize while ensuring attention to
- details.
- Excellent written and oral communication skills.
- Ability to work independently and as part of a team.

Pay: $1.00-$2.00 per year
