Reporting to the Director, Office of the President, the Student Assistant will provide support to the Office of the President and Family Medicine Strategic Unit (FMSU). The successful candidate will carry out a wide variety of activities with a high level of confidentiality in an efficient, professional, and courteous manner. The incumbent will also provide assistance to various committees and groups under the supervision of the Director or other members of the President’s portfolio.

This role requires multiple projects and deadlines running simultaneously. Success in this role will require the individual to plan, prioritize and manage multiple tasks with multiple deadlines.

Responsibilities

The individual in this role will have access to confidential and sensitive information. Being able to maintain confidentiality and exercise discretion is essential for success in this role. Tasks may include but at not limited to the following:

- Assists the Office of the President and FMSU with general administration and project-related activities.
- Prepares, edits, formats and proofreads correspondence, reports, presentations, briefing notes and other documents.
- Gathers, compiles and organizes documentation and information to support the units.
- Conducts secondary research and gathers information for projects as directed.
- Creates, edits and administers surveys and other information-gathering tools as required.
- Enters and maintains data and information in administrative databases and electronic systems.
- Creates, organizes and maintains electronic files and records, including SharePoint.
- Supports meetings, committees, tours, events and other initiatives through scheduling, preparation of materials, documentation and follow-up as required.
- Uses multiple office software applications, including word processing, spreadsheets, presentation software, email, internet and other electronic systems.
- Interprets and apply organizational policies and workplace rules as appropriate.
- Acts as a role model of the organization’s values in daily work activities.




- Performs other duties as assigned.

Qualifications

Education

- Completion of secondary school and full-time enrollment in a recognized college or university with Canadian accreditation.

Knowledge, Skills and Abilities

- Experience working within an academic or professional setting would be an asset.
- Experience with administrative support, information gathering, data entry or document preparation would be an asset.
- Ability to create, compose, edit and proofread written materials with accuracy and attention to detail.
- Ability to understand and follow instructions and established procedures.
- Ability to communicate effectively, both verbally and in writing.
- Ability to work independently and as part of a team.
- Ability to identify and resolve routine problems and seek assistance when appropriate.
- Ability to learn and adapt to new software, systems and processes.
- Strong organizational, problem solving, and time management skills.
- Strong computer proficiency using Microsoft 365 (Word, Excel, PowerPoint, Outlook, Forms, OneNote, SharePoint and OneDrive), Google Apps, and electronic scheduling software.
- Experience with database entry and spreadsheet management is required
- Superior accuracy and attention to detail.
- Ability to work within established organizational practices, protocols and policies
- Ability to work in a consultative and cooperative fashion with a variety of other units to further overall school strategic objectives

Language

- Must be able to communicate effectively in English (verbally, written and comprehension)
- French/Indigenous language skills would be considered asset

Working Conditions





- Extended periods of sitting and working at a computer.
- Works in an office environment, with the opportunity for hybrid work as appropriate and in accordance with established workplace practices.
- Occasional attendance at meetings, events and other activities requiring interaction with employees, learners, visitors and members of the public.
