Role Overview

The Clinic Team Lead will play an exciting and important role in the opening and ongoing success of our new clinic. This is a unique opportunity to help establish a strong team culture, support the implementation of effective processes, and create a welcoming experience for patients from day one.

Working closely with the Clinic Manager, the Team Lead will oversee day-to-day front desk operations while providing guidance, coordination, and leadership to clinic staff. The Team Lead will help ensure efficient patient flow, consistent application of clinic procedures, and a positive experience for both patients and employees.

As a key resource for the clinic team, the Team Lead will assist with workflow coordination, staff training and onboarding, operational problem-solving, and communication between administrative and clinical team members. The position may also perform clinical or administrative duties within their scope of practice, as required

You Will

- Support the Clinic Manager with the day-to-day coordination and operation of the clinic.
- Act as a primary point of contact and resource for clinic staff during daily operations.
- Provide guidance, direction, and support to employees regarding clinic procedures, workflows, and operational processes.
- Assist with coordinating daily staff assignments and coverage to support efficient clinic operations.
- Support patient flow and help identify and address operational issues that may affect the patient experience.
- Assist with onboarding, orientation, and training of new clinic employees.




- Provide ongoing coaching, guidance, and peer support to team members as required.
- Promote a positive, respectful, collaborative, and professional workplace environment.
- Assist the Clinic Manager in ensuring staff follow established policies, procedures, and organizational standards.
- Escalate employee, patient, operational, or performance concerns to the Clinic Manager as appropriate.
- Assist with monitoring clinic schedules and identifying staffing or workflow gaps.
- Support communication and coordination between physicians, clinical staff, administrative staff, and management.
- Assist with implementing new processes, procedures, and operational initiatives within the clinic.
- Identify opportunities to improve clinic workflows, efficiency, and patient service.
- Assist with maintaining appropriate levels of office, medical, and clinical supplies.
- Support inventory management and communicate supply requirements to the Clinic Manager.
- Assist with ensuring clinic areas are clean, organized, safe, and appropriately maintained.
- Assist with opening and closing procedures, where applicable.
- Respond to routine patient questions and concerns and escalate complex or sensitive concerns appropriately.
- Maintain patient confidentiality and ensure personal health information is handled in accordance with applicable privacy legislation and NeuPath policies.
- Ensure required documentation and administrative processes are completed accurately and within established timelines.
- Support the Clinic Manager with audits, reporting, quality initiatives, and other operational requirements.
- Participate in clinic meetings and contribute to discussions regarding workflow, patient experience, and team effectiveness.




- Provide coverage for operational or administrative functions during staff absences or periods of increased activity, as required.
- Perform duties within the scope of the Team Lead's professional qualifications and responsibilities.
- Perform miscellaneous job-related duties as assigned.

YOU HAVE:
- Minimum education: Post-secondary education in Medical Office Administration, Healthcare Administration, or a related field is preferred.
- Minimum 2–3 years of experience in a healthcare, medical clinic, or similar environment.
- Previous leadership, supervisory, mentoring, or team lead experience is considered an asset.
- Robust understanding of clinic operations, administrative workflows, and patient service.
- Strong computer skills, including Microsoft Word, Excel, Outlook, and electronic medical record systems.
- Previous experience with Telus PS Suite (EMR) is considered an asset.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Solid interpersonal and relationship-building skills.
- Ability to provide direction and support to colleagues in a professional and respectful manner.
- Strong problem-solving and decision-making skills.
- Ability to manage competing priorities and work effectively in a fast-paced healthcare environment.
- Demonstrated ability to work independently while collaborating effectively with a multidisciplinary team.
- Strong attention to detail and commitment to accuracy.
- Ability to maintain confidentiality and exercise discretion when handling sensitive patient and employee information.
- Ability to understand, follow, and reinforce established policies, procedures, and instructions.
- Demonstrated commitment to providing an exceptional patient and employee experience.
