Position Information

· Work Location: On-site– The Inn – 115 John street
*This is a temporary contract position, expected to complete around February 2027, with the potential for extension based on operational needs.
Position Summary The Front Office Worker – Reception provides professional and welcoming reception and administrative services to clients, donors, volunteers, staff, and members of the community. The position serves as a primary point of contact for The Inn and assists individuals in accessing appropriate programs, services, and community resources.
The role requires strong organization, communication, confidentiality, and customer service skills, as well as the ability to manage multiple priorities in a busy environment.
Key Responsibilities
Reception & Customer Service
· Provide professional reception services and respond to in-person and telephone inquiries.
· Direct clients, visitors, donors, and community members to appropriate internal programs, staff, or external service providers.
· Provide information and referrals regarding available community resources and services.
· Respond to inquiries related to rent and utility assistance and other client supports.
· Assist with food packages, clothing, food bank services, birth certificate applications, and other client programs as required.
· Maintain appropriate professional boundaries and confidentiality when working with clients and the public.
Administrative & Financial Support
· Receive and process food, monetary, and other community donations and issue receipts as required.
· Sort and distribute incoming mail.
· Maintain organized and up-to-date administrative and financial filing systems.
· Enter and maintain information in spreadsheets and other organizational systems.
· Assist with bookkeeping and other administrative tasks as required.
· Manage the sale and distribution of transit program passes and maintain related records.
Income Tax & Program Support
· Receive, organize, and track client documentation for income tax processing.
· Maintain accurate and confidential tax records and enter information into spreadsheets and tracking systems.
· Communicate with clients regarding the status of their tax documents and direct questions as appropriate.
· Provide orientation, guidance, and support to college placement and summer students.
· Assist with food bank operations, seasonal events,
and other organizational programs as needed.
Teamwork & General Responsibilities
· Work collaboratively with staff, volunteers, donors, vendors, community partners, and other stakeholders.
· Follow organizational policies, procedures, confidentiality requirements, and health and safety practices.
· Maintain a professional, respectful, and inclusive approach in all interactions.
· Participate in meetings, training, and organizational initiatives as required.
· Communicate concerns or issues to the appropriate supervisor or manager.
· Perform other duties as assigned by management.
Work Schedule
· Full-time, Monday to Friday
· Regular hours are 8:30am – 4:30pm
· Occasional changes to scheduled hours or shifts may be required based on operational needs
Qualifications
Education & Experience
· High school diploma or equivalent required.
· Post-secondary education or training in Social Service Work, Human Services, Office Administration, Business Administration, or a related field is considered an asset.
· Previous experience in reception, administrative support, customer service, bookkeeping, or a community/social service workplace is considered an asset.
· Experience working with individuals experiencing homelessness, poverty, or barriers to accessing services is considered an asset.
Skills & Abilities
· Strong interpersonal, communication, and customer service skills.
· Strong organizational and time-management skills with attention to detail.
· Ability to manage multiple priorities and work effectively in a quick-paced environment.
· High comfort level with computers and standard office software, including Microsoft Word and Excel.
· Experience with Simply Accounting or similar accounting software is considered an asset.
· Ability to maintain confidentiality and professional boundaries.
· Ability to work independently and collaboratively with staff, volunteers, donors, and community partners.
· Ability to exercise sound judgment and appropriately refer matters outside the scope of the position.
Working Conditions
· Work is primarily performed in a front-office/reception setting with regular interaction with clients, staff, volunteers,
donors, and members of the public.
· The position involves frequent interruptions, changing priorities, and potentially challenging or sensitive client interactions.
· The position requires professionalism, patience, discretion, and the ability to remain calm in stressful situations.
Compensation and Benefits
· Starting hourly rate of $22.83
· Comprehensive benefits package for eligible employees after 6 months of employment
