The administrative assistant provides support for the Department of Geography as the first point of contact for students, faculty, and visitors to the university. They handle communications for the department through answering and directing inquiries in-person, by phone, and by email, and through the management of the department’s social media channels and website.
The position provides advice to colleagues and students regarding undergraduate program courses, requirements, policies and procedures. They act as the departmental liaison with the undergraduate Academic Advising Centre and Student Support in the Office of the Registrar.
Their responsibilities also include providing administrative support to the Honours program and field schools and performing a variety of duties as an office assistant.
Experience
- At least two years of relevant office experience or an equivalent combination of education, training, and experience.
- Experience with undergraduate advising and regulations at a university.
Knowledge, Skills, And Abilities
- Strong familiarity with Undergraduate policies and procedures.
- Ability to process and interpret written policy and guidelines independently and communicate those clearly to others.
- Ability to research different policies and approaches, synthesize them, and use the information to develop and present options for changes.
- Excellent organizational skills including attention to detail, time management, and ability to multi-task in a fast-paced setting.
- Exceptional administrative skills including meeting and calendar coordination.
- Strong communication and interpersonal skills with demonstrated ability to relate well and work effectively within a team environment, as well as the larger UVic community and external agencies.
- Strong writing and editing skills.
- Editing webpages and social media content.
- Effectively maintaining the confidentiality of highly personal and sensitive information.
- Ability to work independently with limited supervision and resolve tasks and/or problems by exercising judgement and innovation and employing critical thinking and/or analysis.
- Ability to prioritize a large workload and deal with frequent interruptions.
Assets
- Experience using FAST, BANNER, AIRS, Connect, Cascade, Kuali, and Adobe Pro software.
