Salary range: $68,028.89 – $77,100.40

BC’s Office of the Human Rights Commissioner (BCOHRC) exists to address the root causes of inequality, discrimination and injustice in B.C. by shifting laws, policies, practices and cultures. We do this work through education, research, advocacy, inquiry and monitoring.

Reporting to the Manager, Engagement, the Engagement Coordinator serves as the central point of contact for BCOHRC and is responsible for receiving and responding to external requests for information, including compiling and developing written responses that best represent BCOHRC programs, service and guiding principles. Liaises with internal program leads to ensure correspondence with external audiences is accurate and appropriate.

Working closely with all departments and the Executive Services Coordinator and Lead, Executive Services, from within the Engagement and Education team, this position is responsible for coordinating external BCOHRC events and managing requests for Commissioner attendance at external events.With a focus on relationship tracking, this position is responsible for being the subject matter expert and responsible lead for BCOHRC’s relationship management system, Borealis.

Accountabilities
Receiving and processing requests for information and/or engagement

Serves as a first point of contact for BCOHRC and prioritizes information-sharing about BCOHRC (including its mandate, policies, programs, services and priorities) when drafting related correspondence

Receives external, incoming enquiries, correspondence and feedback via telephone, walk-ins, physical mail or email; initiates records and ensures timely responses per BCOHRC’s response standards and overall mandate

Examines and triages enquiries to identify the issue/question, to determine appropriate information needs and to draft clear, concise, accurate responses that are trauma-informed, person-centric, informative and aligns with BCOHRC guiding principles, style and messaging

Re-directs to and/or consults with appropriate BCOHRC subject matter experts and gathers information from various sources including internet and intranet searches. Where applicable, coordinates with external organizations or bodies in informing responses or correspondence. Forwards FOI requests to BCOHRC General Counsel

Provides referrals to external resources when enquiries are not within BCOHRC’s mandate, including information regarding referral services available from government ministries and agencies, community, non-profit and volunteer organizations (such as the BC Human Rights Tribunal, BC Human Rights Clinic, or other entities)

Maintains records of requests for presentations, engagements and/or information in the Office’s relationship management and referral management systems, and tracks BCOHRC responses through to completion/file closure

Serves as a subject matter expert for the Office’s stakeholder relationship management system i.e., Borealis, including providing training,



advice and support to staff on use and quality data management. Liaises with IT team on system updates, training, and functionality

Maintains up-to-date knowledge of emerging trends/developments in human rights and/or BC public service correspondence services/programs

Develops and maintains a list of referral resources and collects information and other resources about intake and public relations best practices

Provides front desk reception duties as needed to ensure coverage and vacation relief for BCOHRC administrative team

External event coordination and external engagement requests

Coordinates the logistics for external virtual and in-person BCOHRC events including venue, guest management, service providers, organizing equipment, securing catering, ensuring audio/technology support, and purchasing goods and services as needed

Develops and maintains a qualified list of partners and service providers such as venues, event organizers, speakers, hospitality providers, translators and interpreters, transportation providers and hotels to assist with the planning and delivery of events. Supports during virtual and in-person events and sessions including technical and problem-solving support and coordinates the collection and management of evaluation records

Coordinates intake and initial processing of requests for Commissioner and staff attendance/presentation at external events as well as drafts follow-up and correspondence materials.

Ensures alignment of in-person and virtual events with BCOHRC accessibility policy as related to physical (mobility), digital (web/technology), cognitive (understanding, including language), sensory (visual/auditory), and economic access

Qualifications
Education and experience

Bachelor’s Degree, plus two years related experience; OR

Certificate or coursework, plus three years related experience; OR

Secondary school graduation (Dogwood, GED) plus four years related experience; OR

Five years of evergreen general experience that is relevant to the accountabilities listed for this position

Minimum of two years of relevant experience in a human services agency, including:

Request and intake management with individuals facing heightened risks or barriers:

Responding to external requests and enquiries via mail and phone

Processing requests in a timely manner

Managing records related to requests

Event coordination and planning

Identifying,



planning and supporting external events (e.g., liaising with relevant parties, supporting event materials, coordinating logistics, purchasing/procurement of goods and services for events etc.)

Applying accessibility approaches to event management

Experience with trauma-informed approaches in dealing with the public, including those who may be managing histories or current experiences of trauma, mental health and/or may be in distress, angry or present communication challenges

Experience handling and maintaining confidentiality when dealing with sensitive information

Experience analysing stakeholder requests and drafting and editing correspondence

Experience with Microsoft Office tools, including Word, Excel, Outlook, PowerPoint, SharePoint, OneNote and Teams as well as ability to learn recent software systems.

Successful completion of security screening requirements of the BC Public Service, which may include a criminal records check, and/or Criminal Records Review Act (CRRA) check, and/or enhanced security screening checks as required

Experience working in an independent office of the Legislature

Experience working in the BC Public Service

Experience coordinating and managing events

Experience with customer relationship management data systems (CRM)

Excellent interpersonal skills including sensitivity, empathy, discretion and tact

Excellent communication skills to respond to telephone or in-person requests from the public, including from those who may be upset, angry or with communication challenges

Knowledge of Administrative and Operational Records Classification Systems (ARCS/ORCS) and records management

Knowledge of BC Public Service structures and recognized procedures

Well-developed analytical, strategic, and critical thinking skills

Ability to appropriately manage stressful situations

Ability to prioritize high volumes of time-sensitive and confidential work to meet operational deadlines

Exceptional organizational skills, including the ability to construct or adapt systems for efficiency, and to anticipate and respond to the needs of internal and external stakeholders

Comfortable with various communication technologies

Adaptable and flexible in dynamic and complex work environments

This position is based in Vancouver, B.C.

This is a hybrid position that is required to work in the BCOHRC Vancouver office at least two
