Reporting to theManager,PeopleStrategies,the People & CultureCoordinatoris responsible forproviding proactive,client-focused supportacross a range of People & Culture(P&C;)functions in alignment withOCAD University’s (OCAD U) academicand strategicplans and values.
The P&C; Coordinatorleadsthe coordination and administration ofcorePeople & Culture processes, ensuring activities are organized,trackedand completed efficiently. Workingin partnership withtheP&CAdvisorsand; other P&C; team members across designatedfunctions, theCoordinatorcontributes to the effectivedelivery ofP&C; programs, services,projects,andinitiatives. TheCoordinatoralso contributes tothe continuous improvement ofP&C; processes and programs,using an equity informed, client focused approach.
Summary of Responsibilities
In partnership with theP&C; Advisors, proactivelyprovideservice toadministrativemanagersandstaffacross all departments at OCAD U
Act as the first point of contact for the Advising team, providingadvice,guidance and supportto managers and staffonP&C; relatedprograms, policies, and procedures,includingbut not limited torecruitment,labourrelations & employee wellness, andescalating matters to the P&C; Advisors as required
Maintain awareness of client group needs and supportthe P&C; Advisorwithworkforce planning activities by gathering andmaintainingworkforce data, coordinating related processes and documentation, andassistingwith the implementation of workforce planning initiatives
Preparevarious employment-relatedcorrespondence, includingjob offers and promotions, and other employment documentation
Support position controlprocesses, includingPOSDsubmissionsand auditing ofrelatedreports
Supportemployeeonboarding process, including coordinating pre-employment paperwork and orientation sessions, andaddressing related inquiries and/or issues;ensuremanagers have requiredinformation to support this process
Leadthe administration andcoordination oftheProfessionalDevelopment (PD)program,including collecting and preparing PD requests forreview by the Professional Development Committee,
and recordingand communicatingapproved allocation of PD funds; monitor employee PD funds and consultwith the Organizational Development (OD) Specialistas needed
In collaboration with the OD Specialist,coordinate and administer all aspects of the Job Evaluation process, serving as the primary point of contact for applicants and ensuringtimelycommunication, documentation follow-up, meeting scheduling, process tracking, and communication of Job Evaluation results
Lead the coordination and administration ofattendance management processes, including monitoring and auditing Self-Service Leave Request transactions, approvals, and leave plans to ensure accuracy, compliance, and adherence to established policies and procedures; process manual attendance and leave-related transactions as required; identify and investigate discrepancies; and elevateissues to theAdvisors on complex matters as needed
Lead the administration of Self-Service Leave Request and approval transactions, process manual attendance entries in Colleague UI, conduct regular audits of leave records and plans to ensure accuracy and compliance, and follow up with employees and managers asrequiredto resolve discrepancies and outstanding actions
Coordinatelabour-managementcommitteemeetings, includingscheduling,preparingand distributingagendas, attendingmeetings to record minutes, tracking action items,and distributing minutesand follow-up communications
Support the Manager, Faculty & Employee Relations with collection of relevant employment related records in preparation for complaint/grievance processes
Overseethe temporary contract renewal and expiry process, including monitoring thetemporary contractsendingreport, followingup with managersregardingcontract extensions or end of contract,preparing costing & encumbrance reporting for contracts,coordinatingoffboardingactivities,andensuring that allrequired information is submitted to HRIS/Payroll within established payroll deadlines
Conduct variouscyclical audits, includingsupervisoryandprobationary reportsandcoordinate related follow up and communications and systems updates
Serve as the primary coordinator forthe annual and probationary performance review process, includingreviewingsubmittedevaluationsfor completeness,identifyingperformance concerns, andflagging issues to the appropriate P&C; Advisor for follow up;coordinatefinal sign offand issuing of communications,maintain tracking records, monitorcompletion ratesand preparerelated reportsand metrics
In collaboration with the Employee Wellness Specialist,coordinatethe annual employee recognition program, includingadministeringthe employee awards nominations and selection process,andsupporting the planning and execution of theannual employee appreciation event;supportotheremployee-driven eventsand initiativesas needed
Maintainan accurateelectronic filing system, and perform related tasks to ensure records are easily accessible toappropriate staffand keptin accordance withguidelines
Using the content management system,
review and updateP&Csection; of the OCAD U website and respective SharePoint site, ensuring compliance with AODAstandards
Conduct employee research and analysis, and prepare internal and external reports asrequired; liaise with other departments andP&Cstaff; to coordinate and collect related employee data
Support the recruitment process, as needed
Maintain currency and knowledge in all relevant areas of Human Resources
Serve as a backup for otheradministrative and coordination functions within thePeople & Cultureteam, as needed
Assistwith special projects and initiatives, contributing to the successful operation of thePeople & Cultureoffice
Qualifications
Apost-secondarydegree inHuman Resources, Business or a related field,or an equivalent combination of education and experience with special consideration for the qualified and community-based experience of equity-deservinggroups
Ability to obtain aCertified Human ResourcesProfessional(CHRP) designationispreferred
A minimum oftwo(2) yearsof work experience providing client-focused services, preferably in ahuman resourcesunionized, post-secondary or public sector environment
Knowledge of applicant tracking systems and Human Resources Information Systems (HRIS)is an asset
Working understandingof HR policies and practices, collective agreements, and relevant employment legislation, such as the Employment Standards Act (ESA),OntarioLabourRelations Act (OLRA),Ontario Human Rights Code (OHRC), Occupational Health and Safety Act(OHSA),and the Accessibility for Ontarians with Disabilities Act (AODA)
A collaborative and consultative working style with an ability to develop andmaintaineffective working relationships in a manner that gains trustand cooperation
Strongcommunicationand interpersonal skills and judgement, with a demonstrated ability to deal with sensitive or confidential matters with discretion
Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students,staffand faculty

Strong computer skills and a working knowledge of all Microsoft Office applications and well-developed internet research skills

Compensation:
Hiring Range - $57,486.45 to $65,772.56 per annum, commensurate with experience, plus benefits; Salary Range - $57,486.45 to $75,566.13 per annum.
Hours of Work:
Monday to Friday, 35 hours per week.
