Warranty & Inventory Coordinator

Location: Fergus, Ontario

Hours: Monday–Friday, 8:00 AM–4:30 PM – Office &n; Warehouse

Reports To: Supply Chain Manager

About Summit Water

Summit Water is an Ontario-based company providing water treatment, pumping, and water system solutions to residential, commercial, and industrial customers.

We are looking for aWarranty & Inventory Coordinator to join our Fergus team.

The ideal candidate is organized, detail-oriented, comfortable working with computer systems, and enjoys communicating with customers, vendors, drivers, and internal team members.

The Role The Warranty & Inventory Coordinator will primarily be responsible for coordinating warranty claims, maintaining accurate inventory information, and providing administrative support to the warehouse and logistics teams.

The majority of the role will be hybrid work with a computer and administration based, with regular interaction with the warehouse, delivery team, customers, and vendors, as well as support with warehouse operations.

This is an excellent opportunity for someone looking to build experience in inventory management, logistics, warranty administration, and operations.

Key Responsibilities

Warranty Coordination

- Process and manage warranty claims through our internal software.
- Communicate with customers regarding warranty requests and claim status.
- Coordinate warranty returns and exchanges with customers and our delivery team.
- Communicate with vendors regarding warranty claims, returns, replacements, and credits.
- Track warranty claims and follow up on outstanding items.
- Maintain accurate warranty records and documentation.
- Escalate more complicated warranty issues to the appropriate team member or manager.

Inventory Coordination

- Maintain accurate inventory information within our ERP system.




- Assist with regular inventory counts and cycle counts.
- Investigate inventory discrepancies and assist with resolving variances.
- Assist with Min/Max inventory maintenance.
- Monitor inventory information and communicate discrepancies or concerns to the appropriate team members.

Warehouse & Logistics Support

- Coordinate with drivers regarding returns, product pickups, and deliveries.
- Assist with tracking shipments and product movements when required.
- Communicate changes or important information between the warehouse, delivery team, customers, and internal departments.
- Help ensure paperwork and system information accurately reflects physical product movements.
- Assist with other warehouse and logistics tasks as required.

What We're Looking For We are looking for someone who is organized, dependable, detail-oriented, and comfortable communicating with people.

Required

- Strong organizational and administrative skills.
- Excellent attention to detail.
- Strong written and verbal communication skills.
- Comfortable using Microsoft Office, particularly Excel and Outlook.
- Comfortable learning and working with ERP/software systems.
- Ability to manage multiple tasks and follow up on outstanding items.
- Professional and friendly communication style.
- Ability to work independently while being part of a team.
- Willingness to learn about our products, systems, and processes.

Nice to Have (but not required)





- Previous experience in inventory, warehouse administration, logistics, warranty, or customer service.
- Experience working with an ERP system.
- Knowledge of plumbing, pumps, water treatment, or related products.
- Post-secondary education in business, supply chain, administration, or a related field.

- Takes ownership of their work and follows tasks through to completion.
- Works well with both office and warehouse teams.
- Is willing to help wherever needed to support the overall operation.
