Investments Administrator
Primary focus: effectively facilitate the processing of segregated fund trades and provide administrative support within the scope of the role, ensuring all tasks are processed in a compliant, accurate and timely manner to maintain service levels to advisors.
Key Responsibilities
- Facilitate processing of segregated funds, GICs, and other investment products with insurance carriers, ensuring protocol and service standards are consistently maintained.
- Assume ownership of assigned files and data quality, recognizing urgencies and assisting in resolving problems that may delay file progression.
- Track and follow up on pending transfers with carriers.
- Perform immediate follow‑up with advisors regarding missing information, supporting documentation, discrepancies, and unclear instructions.
- Effectively resolve any issues, questions, or complaints pertaining to investments.
- Establish and facilitate new client accounts within the WealthServ Investment System.
- Manage incoming and outgoing investments mail to ensure all service standards are met.
- Undertake additional responsibilities, duties, and special projects as identified.
Education, Experience and Skills
- Minimum 2 years’ experience in the investment industry.
- Industry designations (FLMI,
ACS, AIAA) desirable.
- Superior organizational and time‑management skills with demonstrated ability to manage multiple tasks.
- Proven accuracy, attention to detail and data‑entry skills.
- Excellent written and verbal communication skills.
- Strong interpersonal skills; ability to develop and maintain relationships and work within a team environment.
- Ability to represent self, office and organization professionally and positively at all times.
- Ability to handle sensitive and confidential information professionally.
- Knowledge of WealthServ and Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Advanced level of English and French; must collaborate with employees, advisors, carriers, vendors and stakeholders on coaching, operational priorities, system and process changes, escalated issues, and day‑to‑day operations.
Salary and Location
Salary range: starting at $48,000, commensurate with experience and skill set.
Locations: North York – 2235 Sheppard Ave E; Montreal – 2000 McGill College Ave Quebec; St. John’s – 140 Water Street. Hybrid work workplace: up to 3 days per week working from home.
