Symphony Vacation, a boutique travel agency located in the heart of downtown Kingston, Ontario, is looking for an experienced, enthusiastic and motivated Travel Agency Manager to join our team and help lead the next chapter of our growth.

We are looking for someone with a minimum of 2 years of professional experience in the travel industry who understands the business of selling travel, loves working with people and is ready to take on a leadership role.

This is much more than an administrative position.

It's an opportunity to combine travel, sales, leadership, client service, business development and destination knowledge in an exciting boutique-agency environment.

And sometimes, learning about the products we sell means experiencing them firsthand!

The Role
As our Travel Agency Manager , you will play an important role in both the day-to-day operation and future growth of Symphony Vacation.

You’ll help manage the agency, support our travel advisors, serve our clients, build supplier relationships and work closely with ownership to identify opportunities to grow the business.

We want someone who can take initiative, bring forward ideas and help us continue building a travel agency known for exceptional service and memorable travel experiences.

Key Responsibilities Agency Management & Administration

Oversee the day-to-day operations of our downtown Kingston travel agency

Coordinate office schedules, workflow and administrative priorities

Support travel advisors with bookings, client files and operational questionsMaintain organized agency records and supplier information

Assist with invoicing, commission tracking, reconciliations and other administrative functions

Help establish and maintain efficient office procedures

Ensure a high standard of professionalism and customer service

Help ensure agency procedures comply with applicable TICO and Ontario travel-industry requirements

Assist ownership with reporting and other operational responsibilities

Identify ways to improve efficiency, organization and the overall client experience

Administrative and management responsibilities are compensated as part of this position and are not dependent solely on generating travel sales.

Team Leadership
A great agency manager doesn't simply manage tasks — they help people succeed.

Provide day-to-day leadership and support to our travel advisors

Help train, mentor and develop team members

Encourage sales activity and exceptional client service

Share destination, supplier and product knowledge

Help establish goals and monitor performance

Assist team members in resolving challenging client or booking situations

Foster a positive, collaborative and professional workplace

Help create an setting where our advisors and our agency can grow

Travel Sales & Client Relationships

Depending on experience and the agreed compensation structure, you will have the opportunity to:

Build and manage your own portfolio of clients

Design customized vacations and travel experiences

Sell cruises, resorts, vacation packages, tours, hotels, flights and group travel

Develop new client relationships

Maintain and grow relationships with existing clients

Generate repeat and referral business

Assist with group travel opportunities

Develop relationships with tour operators, cruise lines, hotels, resorts and destination partners

Identify exciting new destinations and products for our clients

Help Grow Symphony Vacation
We're looking for someone who wants to contribute ideas and participate in the growth of the business.

You’ll work closely with ownership to help:

Grow agency sales and profitability

Develop new business and group opportunities

Strengthen relationships with preferred suppliers

Identify emerging travel trends and destinations

Develop promotions and special offers

Support marketing and social-media initiatives

Participate in client evenings, presentations and supplier events

Build Symphony Vacation's presence in Kingston and the surrounding community

Participation in approved FAM trips, supplier events, training and educational travel will be considered professional development/business activity , with applicable compensation and expense arrangements established in advance.

Compensation & Benefits
We believe our Travel Agency Manager should be compensated for managing the business as well as rewarded for helping grow it.

The compensation package will therefore include a combination of:

Management Compensation
A competitive base salary or hourly compensation for management, administrative and operational responsibilities.





Sales & Performance Earning Potential
Opportunity for additional commission and/or performance incentives based on eligible personal sales, agency performance and mutually agreed targets.

Travel Industry Opportunities
Potential access to:

FAM and educational travel

Supplier and tourism-industry events

Destination and product training

Industry travel rates and offers where available

Professional development

Resort, hotel and cruise familiarization opportunities

Final compensation will be based on the successful candidate's experience, qualifications, industry knowledge and scope of responsibilities.

QualificationsRequired

Minimum 2 years of professional experience in the travel industry

Strong knowledge of the travel sales and booking process

Excellent customer-service and communication skills

Strong organizational and time-management abilities

Ability to manage multiple bookings, clients and priorities

Comfortable working with technology and learning new systems

Strong attention to detail

Ability to work independently and as part of a team

Professional, positive and solutions-oriented approach

Strong Assets
Experience or knowledge in any of the following would be highly valued:

Travel agency operations

TICO requirements

Tour operators

Cruise lines

All-inclusive resorts

Customized FIT vacations

Group travel

Travel booking and reservation systems
