Position Summary
The Director of Operations is responsible for leading the day-to-day operations of Durham Family & Cultural Centre (DFCC). The Director of Operations ensures organizational excellence through effective leadership, operational management, strategic planning, financial oversight, grant development, human resources management, and program accountability.
The Director of Operations acts on behalf of the Executive Director when required and provides leadership to ensure the organization operates efficiently, meets all contractual obligations, achieves strategic priorities, and oversee the operations of culturally responsive programs and services.
Key Responsibilities
Assume leadership responsibilities in the absence of the Executive Director.
Support the Executive Director in implementing the organization’s Strategic Plan.
Translate strategic priorities into operational plans and measurable objectives.
Lead organizational change initiatives and continuous quality improvement.
Prepare organizational reports, dashboards, and operational updates for the Executive Director and Board of Directors.
Represent DFCC at community meetings, funder meetings, conferences, and partnership tables.
Organizational Operations
Direct all daily organizational operations to ensure efficiency and effectiveness.
Develop, implement, and monitor organizational policies, procedures, and operational systems.
Ensure compliance with funding agreements, legislation, employment standards, health and safety requirements, privacy legislation, and organizational policies.
Oversee facilities, technology systems, procurement, contracts, and administrative functions.
Identify operational risks and implement mitigation strategies.
Grant Development and Fund Development
Lead the organization’s grant development strategy.
Research municipal, provincial, federal,
foundation, and corporate funding opportunities.
Support in grant writing
Prepare grant budgets in collaboration with the Executive Director and finance staff.
Manage grant reporting and ensure compliance with all funder requirements.
Maintain a comprehensive grants calendar and funding pipeline.
Build long-term relationships with funders, government representatives, and philanthropic partners.
Support sponsorship development, fundraising initiatives, and donor stewardship.
Financial and Resource Management
Assist in developing and monitoring the annual organizational budget.
Oversee operational expenditures and ensure responsible financial management.
Monitor program budgets and funding allocations.
Review financial reports and recommend corrective actions when necessary.
Support financial audits and accountability processes.
Provide strategic oversight for all organizational programs.
Ensure programs meet contractual deliverables, performance indicators, and quality standards.
Monitor program outcomes through evaluation and data analysis.
Lead the development of innovative programs that respond to community needs.
Ensure services align with DFCC’s mission, strategic pillars, and community priorities.
Provide leadership and supervision to managers, staff , coordinators, and administrative staff.
Lead recruitment, onboarding, performance management, coaching, and professional development.
Foster a positive, respectful, accountable, and inclusive workplace culture.
Address employee relations issues in collaboration with the Executive Director.
Ensure compliance with employment legislation and organizational policies.
Community Relations and Partnerships
Build and strengthen strategic partnerships with government, schools, businesses, funders, and community organizations.
Represent DFCC in collaborative initiatives and sector networks.
Promote DFCC’s mission, vision, and strategic priorities throughout the community.
Qualifications
Bachelor’s degree in Business administration, Public Administration, Nonprofit Management, Social Work, or a related field. A master’s degree is considered an asset.
Minimum of 7 years of progressive management experience, including senior leadership in the nonprofit or public sector.
Proven experience supervising multidisciplinary teams.
Demonstrated success writing and securing grants from government, foundations, and corporate funders.
Experience managing multi-funded community programs and organizational operations.
Robust knowledge of nonprofit governance, strategic planning, financial management, and human resources.
