Role: Medical Office Assistant

FTE: Permanent, 22.5 – 37.5 hours/week (0.6 – 1.0 FTE)

Hourly Rate: $21.00 – $22.05

Location: 421 Greenbrook Drive, Kitchener, Ontario

Position Summary

The Medical Office Assistant (MOA) is an essential member of the New Vision Family Health Team, providing support to ensure efficient, high-quality, and patient-centred care in a primary care setting. This role involves direct patient interaction, including preparing patients for examinations, taking vital signs, assisting with procedures, and maintaining clinical documentation.

The MOA contributes to safe and effective care by maintaining clean, stocked exam rooms, utilizing proper infection control procedures, and supporting physicians and other healthcare providers. This position requires the application of sound judgment and critical thinking to assess and report clinical findings and ensure accurate, timely documentation in the Electronic Medical Record (EMR). Working collaboratively with physicians and the broader interdisciplinary team, the Medical Office Assistant plays a key role in delivering a positive and seamless care experience for patients.

Key Responsibilities

Clinical Support





- Prepare patients for physical examinations and treatment procedures.
- Perform full vital signs and gather relevant clinical information at each visit.
- Identify and communicate any concerns related to patient health to the clinical team.
- Assist in minor surgical procedures or other treatments as needed.
- Maintain accurate and concise documentation of patient interactions in the EMR.

Infection Control and Safety

- Maintain clean and well-stocked exam and procedure rooms.
- Adhere to universal precautions and infection prevention and control guidelines.
- Handle and dispose of hazardous and infectious waste in accordance with protocols.
- Operate office and medical equipment safely and appropriately.

Team Collaboration

- Develop and maintain effective working relationships with physicians, nurses, allied health providers, and administrative staff.
- Participate in team meetings and support initiatives that improve clinic efficiency and the patient experience.

Qualifications

- Graduate of a Medical Office Assistant program or equivalent.
- Current Basic Life Support (BLS) / CPR.
- Successful completion of a Criminal Record Check.
- Completion of health screening requirements (MMR, Tdap, Varicella, and Hepatitis B).
- Minimum one year of experience in a primary care or clinical setting preferred.




- Experience with Electronic Medical Record (EMR) systems an asset.
- Solid communication, excellent time management, organization, and problem solving.
- Ability to work independently and collaboratively within an interprofessional team.
- Commitment to providing patient-centred care in a respectful and compassionate manner.

Compensation & Benefits

- Hourly wage ($21.00 - $22.05), commensurate with experience.
- Healthcare of Ontario Pension Plan (HOOPP).
- Extended healthcare plan (available for 0.8 -1.0 FTE).
