Job Summary & Requirements
Royal Victoria Regional Health Centre’s Regional Digital Health team supports the technology, systems, and digital tools used by RVH and eight other hospitals across Central Region North. This work has grown over many years and now includes support for hospital computer systems, clinical and business applications, cybersecurity, data and reporting, digital projects, and regional planning.
Digital health is essential to how hospitals deliver care, share information, and improve services for patients, families, staff, and physicians. As RVH continues to support more regional digital health work, this administrative role will help the Vice President, Digital Health & Regional Chief Information Officer and the Regional Digital Health leadership team stay organized, coordinated, and responsive.
POSITION SUMMARY & ACCOUNTABILITIES
Reporting to the Vice President, Digital Health & Regional Chief Information Officer, the Regional Senior Administrative Professional provides senior administrative support to the Regional Digital Health team. The role helps manage calendars, schedule and organize meetings, prepare documents, track follow-up items, support communication, assist with expenses and financial processes, and keep records and files well organized.
This person is often one of the first contacts for leaders, staff, partner hospitals, vendors, and other people who work with the Digital Health team. The role requires someone who is organized, professional, helpful, able to manage confidential information, and comfortable working with a busy leadership team.
The successful candidate will be trusted to keep things moving, follow up on important tasks, prepare clear materials, support meetings, and make sure information is shared with the right people at the right time. This role is a good fit for someone who enjoys helping others, staying organized, solving problems, and supporting meaningful work in healthcare.
Duties & Responsibilities
- Provide administrative support to the Vice President, Digital Health Regional Chief Information Officer, including calendar management, scheduling, correspondence, travel, expenses, and follow-up on important items
- Act as a professional and helpful point of contact for the Regional Digital Health office
- Schedule and organize meetings, including preparing agendas, sending materials, taking minutes or notes, tracking action items, and following up with attendees
- Handle confidential information carefully and professionally
- Help track priorities, deadlines, decisions, and next steps for the Digital Health leadership team
- Prepare, edit, format, and organize documents such as letters,
memos, reports, presentations, meeting materials, and communications
- Support Digital Health projects and regional activities by helping with scheduling, documentation, communication, and follow-up
- Assist with basic financial and administrative processes such as expenses, invoices, reimbursements, credit card reconciliation, and budget tracking
- Keep electronic files, contact lists, committee materials, and shared folders organized and up to date
- Arrange meeting logistics such as rooms, virtual meeting links, equipment, catering, attendance lists, and meeting materials
- Look for ways to make office processes easier, clearer, and more consistent
- Help with onboarding, orientation, and administrative coordination for team members, consultants, vendors, and partners when needed
- Provide administrative support to other Regional Digital Health leaders as needed, while primarily supporting the VP Digital Health & Regional CIO
- Be flexible and able to help with urgent priorities, major projects, or time-sensitive requests when they arise
EDUCATION & EXPERIENCE
- Post-secondary education in Office Administration, Business Administration, Health Administration, or a related field, or an equivalent combination of education and experience
- Three to five years of administrative experience, preferably supporting senior leadership within healthcare, or government environment at the corporate level
- Experience in healthcare, the public sector, information technology, or a large organization is preferred but not required
- Experience organizing meetings, preparing agendas, taking minutes, tracking action items, and managing confidential information
- Strong computer skills, -including Microsoft Outlook, Word, PowerPoint, Excel, Teams, SharePoint, OneDrive, Copilot, and other common office tools
- Experience helping with invoices, expenses, purchasing, budget tracking, or similar administrative financial tasks is an asset
- Knowledge of healthcare, hospital operations, digital health, information technology, or Meditech is an asset, but training and support will be provided

- Very organized and able to manage several tasks, meetings, and deadlines at the same time
- Able to work independently, take initiative, and know when to ask questions or escalate an issue
- Strong attention to detail and a reliable approach to tracking information, tasks, documents, and follow-up items
- Strong written and verbal communication skills
- Comfortable working with leaders, staff, partner hospitals, vendors, physicians, and other stakeholders in a professional and respectful way
- Able to protect confidential information and use good judgment
- Helpful, service-focused, and committed to supporting the work of the Digital Health team
- Able to adapt when priorities change or urgent issues come up
- Comfortable using Microsoft Outlook, Teams, PowerPoint, Word, Excel, SharePoint, OneDrive, and virtual meeting tools
- Able to organize meetings, take clear notes, track action items, and follow up with people to help keep work moving
- Understands the importance of good service, teamwork, accountability, and continuous improvement

- Access to reliable transportation for occasional travel to RVH, partner hospitals, or regional meetings may be required
- Able to work outside regular business hours on occasion to support urgent priorities, important meetings, or major projects
