About the Role

Reporting to the Senior Supervisor, Facilities & Maintenance, the Junior Maintenance Planner/Scheduler reviews work requests, evaluates scope, allocates resources, and schedules activities to minimize downtime while ensuring optimized use of labor and materials. Regular review of asset metadata and job plans maintains accurate data integrity. The role works closely with maintenance site, regional, and organizational leadership to keep maintenance operations running smoothly, aligning with HelloFresh DNA and driving people and processes.

What You Will Be Doing

- Forecast PM work and load balance daily workload based on available labor and material resources.
- Review incoming maintenance requests and evaluate criticality, work scope, and needed resources with site technicians or management.
- Oversee compilation, organization, and maintenance of documentation required for BRC, CFIA, and other regulatory audits, ensuring accuracy, completeness, and accessibility per established standards and timelines.
- Maintain the PM Tasks list.
- Evaluate equipment and request scope and document clear, concise job plans.
- Coordinate with external contractors.
- Evaluate safety hazards and PPE requirements to ensure safety of maintenance staff and building associates.
- Estimate required labor, materials, and tools, ensuring availability prior to scheduling; include necessary documentation such as drawings and manuals in the job package.




- Work with the site inventory specialist or leadership to ensure required parts are kitted and booked against the correct work request before scheduling.
- Communicate with site operations and maintenance leadership to schedule work and keep impacted parties informed of timing; adjust as needed while coordinating changes.
- Review and report work backlog to management regularly to drive on‑time completion of all requests and preventive maintenance tasks.
- Review downtime data, identify potential warranty issues, and escale them to site maintenance leadership and inventory specialists as needed.
- Ensure equipment records and metadata are correct; perform audits by walking equipment lines and checking against CMMS lists to confirm accurate asset data.
- Create and enroll new equipment in CMMS, ensuring metadata completeness.
- Communicate with maintenance leaders and technicians to continuously improve planning processes and job plans.
- Collaborate with other planner schedulers in the network to share best practices and educate each other.
- Accept other related duties as requested, such as training new staff, assisting Business Operations with CMMS use, and supporting current building launches.
- Work in compliance with OH&S; acts and regulations.
- Other duties as assigned.

At a Minimum, You Have





- 1+ year of maintenance experience, preferably in planning and scheduling.
- Post‑secondary education in Mechanical or Electro‑Mechanical Engineering or equivalent work experience.
- Experience with material handling equipment systems and basic understanding of installation, operation, and general maintenance best practices.
- Proficient or advanced knowledge of CMMS systems, preferably FMX or Fiix.
- Experience with standard office software including document, spreadsheet, and presentation tools (e.g., MS Office, Google suites).
- Proficiency in reviewing data for accuracy, anomalies, and trends, and ability to discuss findings with maintenance leadership.
- Excellent verbal and written communication skills.
- Ability to read and understand drawings, schematics, and diagrams.
- Ability to multitask when needed.
- High integrity, ethics, and excellent follow‑through.
- Ability to work in cold environments.

Compensation

Pay Range: USD 23.75 – 23.75 CAD per hour.
