Position Title: Administrative Officer

Position Type: 21 hours per week

Location: Vancouver, BC (hybrid work model)

Reports to: Director of Finance

Salary Range: The hourly rate for this position ranges from $27.79 to $32.79 per hour.

The Role The Administrative Officer is responsible for managing, organizing and coordinating administrative and office operations and procedures in order to ensure organizational effectiveness and efficiency. In addition to playing a crucial role supporting the leadership team, the Administrative Officer will also provide basic information technology support. S/he will assist in taking forward new initiatives and supporting projects as they arise.

Key Areas of ResponsibilityOffice and Administrative Support

- Manage and coordinate administrative and office operations.
- Develop and oversee administrative policies and recommend changes as appropriate.




- Responsible for sharing posts on JES’ various social media networks.
- Maintain organizational calendars and coordinate all reporting requirements and funding applications for timely submission.
- Assist with human resources management, including maintaining and updating policies and procedures, and supporting benefits administration as needed.
- Assist with recruitment processes, including advertising and job postings as requested.
- Responsible for the orientation and training of staff on office equipment, policies and procedures as well as office safety and security practices.
- Assist with financial management including setting up and closing of credit cards, and bank accounts, and prepare reports on expenses of office and administrative budgets.
- Prepare, collect and format information for internal and external distribution. This may include file correspondence, writing letters and memos, compiling data for reports, create presentations, write reports, edit, proofread and other information preparation duties.
- Coordinate organizational health and safety (OH&S;) program, including requirements, by maintaining OH&S; competencies and incorporating safety and wellness practices in daily work.
- Coordinate office security procedures, including emergency protocols, liaising with the court and building authorities and sheriffs as needed.
- Organize special functions and social events.
- Coordinate office equipment, maintenance and service contracts and systems.
- Purchase computers, printers, supplies, and other equipment.
- Anticipate office needs including the evaluation of new office products.
- Support the senior leadership with coordination of schedules, expense reports, meetings, travels and accommodations.
- Responsible for purchasing travel insurance and keeping track of staff travel.
- Maintain a petty cash system and various budgets as required.
- Perform other duties as may be assigned.

Information Technology (IT) Support

- Support onboarding of staff including setting up new users on JES file and email systems.




- Ensure JES email lists are current.
- Coordinate technology and telecommunications systems, including inventory of IT equipment.
- Respond to and coordinate IT support requests in a timely manner, and communicate with senior IT support as needed.
- Troubleshoot malfunction of office equipment and order maintenance when necessary.
- Coordinate and support staff blog and online profiles.

The Person The ideal candidate will be resourceful and have the ability to work independently as well as within a team. The role is ideally suited to an individual who thrives in a agile and complex environment with a variety of tasks and challenges where accuracy and flexibility are imperative. Ability to maintain confidentiality and exercise discretion is essential for success in this position. Knowledge, Skills and Experience

- Previous administrative experience and experience in designing, developing, maintaining administrative systems/procedures.
- Strong time management and prioritization skills.
- Highly organized and structured with creativity and problem-solving ability allowing a wide variety of activities to remain on track at the same time.
- Excellent written and verbal communication skills.
- Comfortable in a fast-paced environment with multiple tasks and projects at hand.
- Able to organize and manage large amounts of files, tasks, schedules, and information.
- Strong attention to detail and thoroughness with an ability to make sound judgements and be comfortable to make suggestions to peers, leadership team and across operational teams.
- Self-directed and able to work without supervision.
- Energetic and eager to tackle new projects and ideas.
- Willingness to learn and to grow.
- Superior computer and troubleshooting skills, including (but not limited to) Microsoft Office Suite (Word, PowerPoint, and Excel).

Education Knowledge of administration, accounting, financial and human resources principles normally acquired through post-secondary studies in a related discipline or an equivalent combination of education and work experience.
