Position Summary

Reporting to the Executive Director of the Applied Research and Evidence Team (ARET), the Business Coordinator provides operational, governance, and reporting support for ARET. This role works with ARET to ensure research and evaluation activities are coordinated and monitored effectively to meet organizational requirements. The position develops and implements business processes for ARET that track activities and alignment with organizational priorities by preparing executive reports on ARET activities and assisting with the preparation of concise, well-informed materials for leadership and stakeholders.

The role’s primary focus is supporting ARET activity, however it may also support other areas of the organization, as needed, including researchers, project leads, leadership, and corporate service partners to help ensure operational excellence, effective governance, and timely delivery of strategic priorities.

Responsibilities:

1. Divisional Operational Support & Coordination

- Under the direction of the Executive Director, support the development, implementation, and monitoring of divisional yearly operational plans, strategic priorities, and team workplans.

- Coordinate with ARET colleagues to develop and maintain accurate project tracking systems, action logs, risk registers, and milestone reporting.

- Monitor progress and provide regular status updates to leadership for effective monitoring and risk assessment.

- Support project charter and privacy documentation to ensure it is complete, formatted properly, and aligned with organizational standards.

- Maintain ARET-related items in standardized organizational operational trackers for research and evaluation projects, publications, conferences, briefing products, and other strategic initiatives.

- Assist with financial and procurement activities, including support with the preparation of Requests for Proposals (RFPs), Statements of Work (SOWs), updating of budget documents, and supporting documentation.

- Support contract administration and vendor management activities, including tracking invoices, deliverables and timelines.

- Coordinate administrative and corporate functions, including correspondence, memos, notifications, briefings, and approval processes.

- Other duties as assigned.

2. Report & Knowledge Translation Support





- Develop and coordinate executive and operational reporting for leadership, including bi-weekly status reports, dashboards, and performance updates.

- Support development of evidence-informed knowledge products, such as one-page summaries, evaluative reports, rapid reviews, environmental scans, briefing notes, poster presentations, research highlights. This may include writing, formatting, and/or coordinating input for products.

- Review and synthesize findings from grant reports, evaluations, research projects, and emerging local, national, and international trends.

- Prepare bi-weekly summaries of evaluative findings and recommendations to support strategic decision-making.

- Support social media content development and other communication activities to share research findings, publications, and organizational initiatives.

- Supporting corporate reporting requirements such as quarterly forecasting updates, quarterly reporting on business plan targets, and other reporting needs.

3. Governance & Stakeholder Engagement

- Support governance and decision-making processes for strategic and operational initiatives.

- Develop and maintain procedures, processes, templates, and operational guides to support consistent and effective program delivery.

- Build collaborative relationships with internal and external stakeholders to support research, evaluation, and knowledge mobilization activities.

- Coordinate meetings, expert panels, steering committees, and working groups, including agendas, materials, minutes, and follow-up actions.

4. Research Operations & Data Support

- Assist with privacy documentation (e.g., development of data flow diagrams) and information-sharing activities in accordance with organizational policies and requirements.

- Contribute to continuous improvement initiatives that strengthen operational effectiveness, governance, reporting, and knowledge translation.

Education and Experience:

- Bachelor's degree in Business Administration, Public Administration, Health Administration, Social Sciences, Research Administration, or related field.

- Equivalent combinations of education and experience may be considered.

- Experience coordinating business processes within a team including tracking projects and assessing alignment with organizational planning activities.

- Experience preparing reports, briefing materials, and presentations.

- Experience supporting finances, procurement, contracting, and stakeholder engagement.

Knowledge, Skills, and Abilities:

- Strong project coordination and organizational skills.

- Excellent written communication, editing, and knowledge translation abilities.

- Demonstrates a detail-oriented approach to planning, documentation, and quality assurance.

- Ability to synthesize complex information into concise reports and recommendations.

- Strong analytical, problem-solving, and critical thinking skills.





- Ability to manage multiple priorities and deliver high-quality work within tight timelines.

- Able to adapt quickly to changing priorities while maintaining a high standard of accuracy and professionalism.

- Robust stakeholder engagement and relationship management skills.

- Proficiency with Microsoft Office applications, including Excel, PowerPoint, Word, Visio, Teams, SharePoint, and project tracking or collaboration tools such as MindManager, MS Project, Smartsheet, or similar platforms.

Assets:

- Experience with public-sector governance, procurement, privacy, and accountability frameworks is a strong asset.

- Experience with financial reporting or expense management frameworks would be a strong asset.

- Project management diploma, certificate, or related project management training.

- Experience working in a public sector, healthcare, research, policy, or data-focused environment.

- Experience supporting research, evaluation, knowledge translation, grant reporting, or evidence-informed decision-making initiatives.

- Experience developing or maintaining governance documents, operational processes, project plans, risk registers, performance tracking tools, or reporting systems.

- Familiarity with recovery-oriented systems of care, implementation science, evaluation frameworks, quality improvement, or healthcare system trends is considered an asset.
