About The Role

We are looking for a smart, highly organized, technology-comfortable and extremely dependable Executive Coordinator to work directly with the Director and coordinate with teams across the organization.

This is not a routine administrative or desk-based coordination position.

The person will work closely with the Director, participate in meetings, understand priorities and action items, and ensure that commitments made by different departments are actually completed. A major part of the position is knowing what needs to happen, who is responsible, when it is due, and following through until it is finished.

The right candidate should be naturally good at follow-up. You should be able to maintain positive working relationships while being persistent enough to get things done. Sometimes this requires a friendly reminder; sometimes it requires pushing harder and escalating an issue before it becomes a problem.

This position offers significant exposure to how a manufacturing company operates and is intended for someone looking for a long-term career and substantial professional growth.

Key Responsibilities

Director Coordination

- Work directly with the Director on business priorities, open tasks and ongoing initiatives.
- Attend meetings with the Director and relevant internal teams.
- Take clear and detailed notes during meetings.
- Convert discussions into specific action items, owners and expected completion dates.
- Maintain visibility of open commitments and ensure nothing key is forgotten.
- Provide the Director with clear updates on what has been completed, what remains pending and where intervention may be required.

Internal Follow-Up
- Coordinate with department heads and team members across the organization.
- Follow up consistently on tasks assigned during meetings or directly by the Director.
- Develop good working relationships with different departments so that follow-ups remain professional and constructive.
- Know when a friendly reminder is sufficient and when stronger follow-up is required.
- Push for closure without creating unnecessary conflict.
- Escalate delays, risks and repeated non-compliance when appropriate.
- Verify completion rather than simply accepting that something is "being worked on."

Cross-Functional Coordination The Position May Interact With Multiple Functions Including

The candidate is not expected to be an expert in every department. However, they must be intelligent and curious enough to understand what is being discussed, ask the right questions,



document decisions correctly and follow through.

Technology Skills

We strongly prefer someone who is naturally comfortable with technology.

The ideal candidate should be strong with computers and able to learn new systems quickly.

Experience Or Familiarity With The Following Is Preferred

- Microsoft Excel
- ERP systems
- ChatGPT and other AI tools
- SQL or basic database concepts
- Power BI or similar reporting tools
- Microsoft Office
- General computer troubleshooting and technology

Expert-level knowledge of every tool is not required. More key is the ability to understand technology quickly and confidently use it to solve problems.

We Are Looking For Someone Who Is

Extremely detail-oriented.

If five tasks were discussed in a meeting, all five should be captured and followed through. Small details cannot routinely be missed.

Persistent but professional.

You should be comfortable following up multiple times when necessary without damaging relationships with colleagues.

Smart and quick to understand.

You will be exposed to many different areas of the business. You should be able to understand unfamiliar subjects quickly.

Highly accountable.

Once you take ownership of following something through, the Director should not need to remind you about it.

Comfortable communicating across levels.

You may need to coordinate with junior team members, engineers, managers and department heads.

Technology-oriented.

You should enjoy learning new software, systems and tools rather than avoiding them.

Comfortable in a manufacturing environment.

This position is based inside our factory at Changodar, not in a corporate office.

Serious About Career Growth.

We are looking for someone who wants to build a long-term career rather than simply move through another coordination position.

Working Environment &

- Hours

This is an in office factory position based in Changodar, Ahmedabad.

Because the position works directly with the Director, flexibility regarding working hours is important. There will regularly be days when the candidate needs to stay beyond normal factory hours to attend meetings, review priorities or close important tasks with the Director.

The position involves six full working days per week, with Sunday generally being a half working day.

Candidates should carefully consider the Changodar location and commute before applying. Because of the working schedule and the nature of the position, we strongly prefer candidates who live within a practical commuting distance of the factory or are willing to relocate closer.





This role is best suited to someone who is comfortable with a demanding work environment and sees the additional exposure as an chance to accelerate their learning and career.

Ideal Candidate Profile

We Would Particularly Like To Meet Candidates Who Have

- 2–4 years of professional experience; strong candidates with 1–2 years may also be considered.
- BE/B.Tech in IT, Computer Science, Mechanical Engineering or another relevant technical discipline.
- Experience in coordination, operations, project coordination, sales coordination, manufacturing or a similar environment.
- Strong attention to detail.
- Excellent follow-up and task-tracking ability.
- Good written and verbal communication.
- Confidence interacting with managers and department heads.
- Strong computer skills.
- Good working knowledge of Excel.
- Exposure to ERP systems, AI tools, SQL or Power BI is an advantage.
- A practical problem-solving mindset.
- Willingness to work from our Changodar factory and accommodate extended working hours when required.
- Interest in building a long-term career with the organization.

- Prefer waiting for instructions rather than taking ownership.
- Are uncomfortable working in a factory environment.

- Have a difficult daily commute to Changodar and are not willing to relocate closer.
- Are primarily looking for a short-term position.

The Opportunity We are not simply looking for someone to maintain a task list.

We are looking for someone the Director can gradually depend on to make things happen.

Initially, your responsibility will be to understand, document, coordinate and follow up. Over time, as you demonstrate judgment and reliability, you will be given greater ownership and increasingly important responsibilities.

For the right person, this can develop into a significant long-term role within the organization.
