We are seeking an experienced Finance Assistant to join our team. This is a full-time position. The Finance Assistant provides vital mid-level accounting support to the Director of Finance. This role focuses on ensuring financial accuracy and regulatory compliance across our non-profit housing programs and properties. The ideal candidate brings a solid understanding of fund accounting, grant compliance, and property-related transactional workflows.
KEY DUTIES AND RESPONSIBILITIES:
Grant & Fund Accounting Support
- Monitor restricted funding allocations and track expenditures against specific housing grants and funding sources.
- Ensure all expenses are accurately coded to the correct funding sources, sites, and programs.
- Assist in compiling financial documentation for grant reimbursement requests and funder reports.
Revenue & Accounts Receivable
- Assist in processing monthly tenant rental payments, housing subsidies, and government allowances.
- Reconcile rental income data between property management tracking systems and the general ledger.
Accounts Payable & Vendor Relations
- Review, code, and process vendor invoices for property maintenance, utilities, contractor services, and general operations.
- Verify invoice approvals against organizational internal controls and purchase orders.
- Maintain neat and accurate digital vendor files and payment histories.
Reconciliations & Month-End Support
- Perform monthly reconciliations for multiple bank accounts, organizational credit cards, and balance sheet accounts.
- Prepare and post standard monthly journal entries under the guidance of the Director of Finance.
- Gather data to help prepare monthly financial packages,
including budget-to-actual variance reports.
Audit, Compliance & Administrative Support
- Organize files, pull transaction samples, and prepare schedules for the annual financial audit and funder compliance reviews.
- Maintain internal digital filing systems for all contracts, financial records, and regulatory filings.
- Assist the finance team with administrative tasks and special projects as required.
QUALIFICATIONS & SKILLS:
- Associate or bachelor’s degree in accounting, Finance, or a business-related field.
- 3 to 5 years of progressive accounting experience.
- An equivalent combination of relevant education and skilled experience may be considered in place of the minimum requirements.
TECHNICAL SKILLS:
- ·Strong proficiency in Microsoft Excel.
- Experience using fund accounting or ERP systems (e.g., Sage 50 Premium or Quickbooks Online).
CORE COMPETENCIES:
- Solid understanding of non-profit accounting principles, restricted fund accounting, and revenue recognition.
- Exceptional attention to detail with a proven track record of data accuracy.
- Strong written and verbal communication skills to interact professionally with staff, vendors, and program funders.
- Ability to handle confidential financial and tenant information with strict discretion.
Compensation and Benefits
- Salary Range: $55,000 - $65,000
