HR and Administration Coordinator

As we continue to expand, we’re seeking an HR and Administration professional who is organized, dependable, approachable, professional, resourceful, and ready to jump in wherever needed.
This position plays a key role in supporting employees, strengthening HR processes, and ensuring smooth day‑to‑day operations. This role works closely with company owners and team members.
Key Responsibilities
- Talent acquisition — Create job postings, screen applicants, coordinate interviews, and support the full hiring cycle.
- Pre‑employment checks — Complete reference checks, background checks, and verify required certifications and credentials.
- Onboarding administration — Prepare offer letters, onboarding documentation, and ensure all employment paperwork is completed accurately.
- Employee records management — Maintain employee files, training records, certifications, and compliance documentation.
- Policy communication — Communicate company policies, procedures, and employee handbook updates.
- HR support — Assist employees with routine HR questions, concerns, and guidance.
- Performance management support — Support documentation, follow‑up, and coordination of performance‑related conversations.
- Time‑off coordination — Manage approved vacation and leave requests and communicate with relevant team members.
- Employee engagement — Support engagement, recognition, and retention initiatives.
- Leadership collaboration — Work directly with company owners on HR matters and employee relations.
- Process improvement — Help develop and refine HR processes as the company grows.
· Administrative recordkeeping — Maintains organized electronic and physical files; prepares company documentation; ensures all client and employee paperwork is accurate and up to date.
- Documentation systems — Skilled in spreadsheets and tracking tools to support compliance and operational efficiency.
- Coordination support — Coordinates meetings, staff events, and new client onboarding; supports communication with clients, families, and caregivers.
- Team collaboration/Scheduling — Works closely with the scheduling coordinator and office team; maintains strict confidentiality; assists owners with daily administrative operations. Part of on call after hours rotation
Qualifications
- Previous experience in HR coordination, Administrative support, Scheduling
- Experience in homecare, continuing care, or healthcare related setting preferred
- Strong organizational, computer and communication skills
- Ability to maintain confidentiality and handle sensitive information
- Comfortable working in a quick‑paced, growing environment
- Knowledge of HR best practices, Alberta employment standards, and documentation requirements

This is an in-person position based in West Edmonton. Hours will primarily be Monday to Friday with some flexibility in working hours. On call after hours rotation is required. Specific hours to be discussed during the interview process. Pay: $24.00-$27.00 per hour
