​Position Summary:

The Human Resources Coordinator is a permanent, part-time position of 20 hours per week and works collaboratively with the Assistants Coordinator to support the recruitment, selection, onboarding, development, and ongoing support of employees and Assistants within the community.

The Human Resources

Coordinator provides leadership and oversight for human resources information systems (HRIS), legislative compliance, employee records, and recruitment processes for employees. As a member of the leadership team, the Human Resources Coordinator actively supports the ongoing needs of the community, with a particular focus on employee relations, workforce development, and organizational culture.

The Human Resources

Coordinator carries out their responsibilities in accordance with the principles, values, and philosophy outlined in the Charter of L’Arche, the Mission Statement of L’Arche, and the L’Arche Canada Leadership Model.

Major Duties and Responsibilities:

Recruitment in collaboration with the Assistants Coordinator:

- Is responsible for screening and hiring employees in accordance with the policies and procedures, laws, and regulations of L’Arche Canada and Citizenship and Immigration Canada.
- In collaboration with the National Recruitment Coordinator and utilizing the organization's recruitment and HRIS systems, coordinate and lead recruitment efforts to attract, assess, and hire qualified, values-aligned candidates for vacant positions.
- Develop and implement local recruitment strategies, including online job advertising, building relationships with colleges, universities, and community partners, attending career fairs and recruitment events, and promoting L'Arche Ottawa as an employer of choice.

Human Resources, Labour Relations:

- Ensure all personnel files are accurate and up-to-date and meet with Ministry of Labour and Ministry of Children, Community and Social Services requirements.​
- Keep updated on changes within the Ministry of Labour and Canadian Immigration processes and ensures compliance with Employment Standards Act legislation.
- Remain current with best practices, legislative changes and industry standards, ensure legal compliance of contractual agreements.
- ​Respond to employee complaints, claims, grievances, and workplace concerns; provide guidance and support to managers; and coordinate documentation, final pay, and other employment-related processes related to employee terminations.
- Advise and assist Community Leader and Coordinators on the interpretation and administration of policies, programs and best practices
- Provide guidance, consultation, and support to coordinators, managers, and employees on human resources policies, procedures,



employment legislation, and workplace practices.
- Advise and support managers in addressing employee relations matters, including performance management, workplace conflict, discrimination, harassment, accommodation, attendance management, and disciplinary processes.
- Manage and record all employee data, including new hires, changes and terminations, and provide reporting as required.
- Provide strategic guidance and support to the Community Leader on employee relations matters, human resources policies and practices, workforce planning, organizational development, and employment-related risk management.
- Maintains confidentiality of employee files and information at all times and is in compliance with the code of ethics for Human Resources Professional Association.

Financial Responsibilities/Payroll:

- In partnership with the AC, assist employees in obtaining Social Insurance Number, applying for Ontario Health Card and opening a bank account.
- In collaboration with the Assistants Coordinator, monitor the appropriate level of compensation for all personnel in the community.
- Work in collaboration with the Assistants Coordinator to manage bi-weekly payroll.
- Collect and inputs supporting documents for payroll
- Submits Record of Employment (ROE) requests to L’Arche Canada and responds to Ministry of Labour inquiries.
- Flags potential payroll concerns, such as unfair distribution of hours or a pattern of consistent overtime hours.
- Work closely with the Community Leader regarding training, recruitment, and other costs-related to budget planning.

Training and Development:

- Recommends, plans, and/or implements mandatory training such as CPI, First Aid, AODA and other development programs of all L’Arche Ottawa Assistants/personnel.
- Manages the Learning Systems and ensures up to date training for all employees

Workplace Health, Safety & Accomodation

- Support compliance with occupational health and safety legislation, workplace accommodation requirements, and organizational policies.
- Coordinate workplace incident reporting, investigations, corrective actions, and record keeping.
- Support workplace accommodation and return-to-work planning in collaboration with employees, managers, and external professionals, as required.




- Provide guidance to leaders and employees on workplace health and safety, accommodation, and legislative compliance requirements.
- Promote a safe, healthy, and inclusive workplace through risk management, prevention initiatives, and continuous improvement.

Reporting and Compliance

- Maintain accurate records and ensure submissions are completed in a timely manner and in compliance with applicable requirements.

Organizational Leadership

- Participating as member of the leadership team
- Contributing to the creation of the operational plan
- Advising on policy development
- Succession planning, workforce planning, retention – helping L’Arche Ottawa becoming an Employer of choice
- Supporting employee engagement in workplace culture
- Contributes to nurturing a healthy community culture that reflects the Identity and Mission of L'Arche.
- Review and update job descriptions as necessary, in conjunction with the Leadership team.

Other:

- In collaboration with the Assistants Coordinator, participates in any relevant ODSN working groups
- Carry the Emergency Phone in a rotation basis, with other coordinators.
- Attend organizational meetings in Ontario, nationally and/or internationally Other tasks may be defined by the Community Leader /designate as required

Qualifications, Skills needed and position requirements:

- Education in Human Resources and/ or equivalent experience, more than 5 years.
- Preferred fluency in both official languages preferred.
- Clear police check including vulnerable sector screening
- Ability to admit mistakes and learn; asks and accept help when needed
- Can remain calm, and focused in times of uncertainty and crisis, and can give clear directions.
- Works collaboratively, models and promotes conflict resolution, and is appreciative of others’ efforts.
- Excellent verbal and written communication skills.
- Good administrative skills, organized and demonstrates time management skills.
- Ability to problem solve, assist in reaching solutions and obtaining necessary resources.
- Knowledge of computer software and HRIS systems such as: Excel, Outlook, Word, Power point, and HRIS systems.
- Driver’s license and access to a vehicle.
- Able to travel within Ontario.

Working Conditions and Physical setting:

- Comfortable working in an office environment with other people sharing equipment and space.
- Comfortable leading and participating in several meetings, both group and individual
- From time to time, the HR Coordinator will be required to be away to attend community, regional or national events and/or trainings which may include work on evenings and weekends
- Is expected to occasionally attend inspections and team meetings in each homes.
