Position Summary
This position is part of the Learning Assessment Coordinator (LAC) team that is striving to create a secure digital testing environment that is comfortable and friendly for students as well as efficient and convenient for Faculty. The LAC is a 100-seat digital test centre that offers a multitude of exam types: different testing procedures and platforms, external - drop-in exams, external high-stakes exams, and UofA midterm and final exams.
We offer many services which means the complexity of administration and coordination increases as the LAC continues to grow each year.
Our centre administers over 20,000 exams per academic year, which includes both UofA and external examinations. We offer services to numerous UofA faculties on campus (during peak exam times over 3,000 UofA students per month) and our external clients range from 37 independent vendors and over 150 various external examinations per month.
The LAC Coordinator helps facilitate the implementation of flexible testing on campus and provides assistance with learning strategies that support a non-traditional approach to administering exams. This position is primarily responsible for the coordination and management of the extensive external (non-UofA) exam clients that are hosted at our test centre. This includes scheduling all individual external students into a data management system, liaising with different institutions, and implementing the entire workflow from initial client booking to the coordination of delivery on exam day.
You will develop training materials and documents to help with the LAC exam process, assists with faculty and student support, coordinates exam operations and provides support to all LAC proctors with scheduling, training and job duties.
The LAC Coordinator works in a challenging and demanding environment, where examinations are a high priority with minimal room for error. You need to demonstrate independence to integrate knowledge and experience in the daily performance of duties and exercise sound judgment and discretion on a wide variety of issues. YOu will also serve as a vital link between faculty, student and examinations to ensure accurate and effective timelines are met for all parties involved.

Coordination and Administration of External Clients
- Develop an effective booking process for both students and exam vendors.
- Liaise with external institutions regarding the exam setup, software requirements, policy and procedures, incident reports, and examination results.
- Ensure the integrity of high-stakes examinations by establishing and managing security measures.
- Manage correspondence between the LAC, external vendor, and candidates.
- Develop documentation guides for staff to follow policy/regulation guidelines.
Faculty and Student Support
- Answer any faculty or student inquiries via email, phone, or face-to-face discussions.
- Work with faculty to integrate technology and digital assessment strategies into their coursework.
- Facilitate and support the campus-wide remote proctoring option for UofA courses.
Exam Operations and Daily Logistics
- Monitor the capacity management to ensure exams are being properly allocated and managed for students.
- Prepare incident reports for instructors and licensing board when academic dishonesty occurs.
- Problem-solve and troubleshoot any exam issues as they arise.
- University Diploma or combination of education and experience working in a testing centre or an academic setting.
- Understanding of FOIPP and Human Rights legislation as it relates to interaction with undergraduate and graduate students, parents, faculty and staff.
- Excellent liaison skills and the ability to conduct in-person consultations with students, faculty, and staff.
- Adaptable, agile and technologically savvy; advanced capacity with MS Office suite, Google Applications and enterprise Learning Management Systems.
- Proven dedication to superior customer service with a strong commitment to student services.
- Exceptional organizational skills and a proven record of attending to important details.
- Robust interpersonal skills including the ability to listen and communicate effectively and sensitively, including cross-cultural sensitivity and an ability to interact with distressed or difficult individuals.
Technology Related Skills Required
- Strong knowledge of Canvas and other LMS (including instructor, designer, student, and administrator roles).
- Strong troubleshooting skills in both a Windows and Macintosh environment, as well with different browsers (Chrome, Firefox, and IE).
Preferred Qualifications
- Knowledge of University environment, its regulations, policies and procedures are a definite asset.
- Knowledge and experience with exam authoring, digitization and database software is an asset.
- Familiarity with using the LAC scheduling and capacity management system is considered an asset.
