Office Administration & Accounting Coordinator
Location: Richmond Hill, ON

We’re looking for an organized, responsible, and motivated Office Administration & Accounting Coordinator to join our growing team.
This isn’t a role where you’ll simply be checking boxes and entering numbers all day. You’ll become an important part of our day-to-day operations, working closely with management and helping keep our accounting, orders, customers, and office operations running smoothly.

What You'll Own
You’ll have responsibility across several areas of the business, including:
Accounting & Financial Administration
- Manage day-to-day Accounts Payable and Accounts Receivable transactions.
- Record and reconcile bank and credit card transactions.
- Process supplier payments and monitor outstanding invoices.
- Follow up on customer payments and outstanding balances.
- Maintain accurate and organized financial records.
- Assist with month-end accounting and reporting.
- Work with our external accountant on year-end requirements.
Orders, Shipping & Customer Support
- Enter and maintain Sales Orders (SO) and Purchase Orders (PO).
- Coordinate shipments, pickups, and deliveries.
- Process and manage group-buy and promotional orders from order entry through fulfillment.
- Coordinate with internal teams and suppliers to ensure orders are completed accurately.
- Respond to customer questions regarding orders, shipping, status updates, and after-sales support.
Payroll & Compliance
- Process semi-monthly payroll on the 15th and 30th/31st.
- Prepare and submit quarterly WSIB reports.
- Prepare and submit monthly HST returns.
- Prepare and submit quarterly HST returns.
- Maintain payroll and financial documentation required for year-end T4s and T2 corporate tax filings.
Office Administration
- Maintain organized accounting and administrative records.
- Assist with filing and general office administration.
- Support management with operational and accounting projects.
- Take on additional responsibilities as the company continues to grow.

What We're Looking ForRequired
- 2+ years of experience in accounting, bookkeeping, office administration, or a similar role.
- Strong understanding of Accounts Payable and Accounts Receivable.
- Strong attention to detail and accuracy.
- Good organizational and time-management skills.
- Comfortable working independently and managing multiple priorities.
- Strong communication and customer service skills.
- Proficiency with Microsoft Office, especially Excel.
- Strong willingness to learn and take responsibility.
Strong Assets
- Experience with QuickBooks or other accounting/ERP software.
- Experience processing payroll.
- Experience with HST filings.
- Experience with WSIB reporting.
- Experience with bank and credit card reconciliations.
- Experience coordinating shipping and fulfillment.
- Experience working with e-commerce or online orders.
- Multilingual communication skills in Mandarin, Cantonese, or both.
- Experience working in a fast-paced or growing business environment.
