Office Manager & Board Liaison Officer

Lifewise is seeking an Office Manager & Board Liaison Officer to join our team.

Our mission is to inspire hope for recovery and decrease stigma for individuals living with mental health, substance use health and/or addictions issues and their supporters.

The Office Manager & Board Liaison Officer plays a key role in supporting the effective operation of Lifewise. Reporting to the Executive Director, this position is responsible for coordinating office administration, providing administrative, human resources and financial support, maintaining effective organizational systems, and serving as the primary administrative liaison between the Board of Directors and Lifewise leadership.

Duties and Responsibilities

Office Management and Administration

· Participate actively in the planning and execution of Lifewise events and activities.

· Coordinate office systems, equipment procurement, office layouts, and general office operations.

· Maintain office furniture and equipment inventories, including purchases, repairs, and maintenance.

· Establish and manage procurement policies and procedures and coordinate relationships with vendors and suppliers.

· Manage contracts with suppliers.

· Oversee office security systems, including the issuance, return, and tracking of passes, security codes, office keys, passwords, and alarm systems.

· Oversee reception and provide general support to visitors.

· Maintain Lifewise’s physical and electronic filing systems and ensure confidential information is appropriately managed.

· Design and coordinate systems to ensure accurate and complete organizational records.

· Participate in health and safety discussions and assist with the implementation of approved guidelines and procedures.

Administrative, Human Resources and Financial Support

· Assist with recruitment and onboarding processes for new staff.

· Provide human resources and payroll support.

· Manage accounts payable and accounts receivable.





· Maintain the general ledger and process journal entries.

· Support senior leadership with administrative needs.

· Arrange travel, accommodations, and official business expenses as required.

· Conduct research and prepare letters, memos, charts, tables, and graphs.

· Perform other administrative duties as required.

Board Liaison The Office Manager & Board Liaison Officer serves as a key administrative connection between the Lifewise Board of Directors, Board Chair, and Executive Director. The successful candidate will help ensure that the Board has the information, systems, records, and logistical support required to fulfill its governance responsibilities.

· Schedule and organize Board meetings in collaboration with the Executive Director and Board Chair.

· Maintain the annual Board calendar.

· Prepare and distribute Board agendas, meeting materials, reports, presentations, and minutes.

· Coordinate meeting logistics, including venues, catering, and technology requirements.

· Serve as a primary point of contact for Board members regarding meeting schedules, documents, and administrative inquiries.

· Maintain accurate records of Board decisions, resolutions, and member attendance.

· Ensure timely distribution of meeting minutes and support follow-up on action items.

· Assist with recruitment and onboarding of new Board members.

· Support Board member orientation and ongoing development activities.

· Assist with the preparation of the annual report.

· Maintain confidentiality of sensitive Board-related information and adhere to applicable legal and organizational requirements.

Qualifications and Experience

· Personal lived experience with mental health, substance use health and/or addictions.

· Experience in office administration, coordination, or a similar role.

· Experience providing administrative support to senior leadership and/or a Board of Directors considered an asset.

· Experience with payroll, accounts payable/receivable, bookkeeping,



or financial administration considered an asset.

· Experience coordinating meetings, schedules, records, and administrative processes.

· Post-secondary education in business administration, office administration, accounting, human resources, or a related field considered an asset.

· Demonstrate the ability to establish and maintain effective relationships with staff, senior leadership, Board members, and community partners.

· Demonstrate the ability to manage multiple priorities and meet deadlines.

· Demonstrate strong computer skills and proficiency in Microsoft 365.

· Demonstrate initiative and the ability to identify issues, develop solutions, and improve organizational systems.

· Demonstrate a commitment to high professional and ethical standards.

· Valid Driver’s License and access to a vehicle when needed.

· Clear Code of Conduct and Vulnerable Sector Check.

Work Hours

Monday to Friday, 9:00 a.m. to 5:00 p.m. (37.5 hours per week). Flexibility in work hours may occasionally be required to accommodate Board meetings, organizational activities, and events.

Salary

$56,480 - $63,568
