The Role:
Due to sustained business growth, we are actively hiring for multiple Project and Service Coordinator openings across both our Projects Team and Service Team. In this essential in-office role, you will act as central coordination for day-to-day operations—supporting our Project Managers, Service Managers, field technicians, and clients to ensure trade workflows and work orders run on schedule.
Key Duties and Responsibilities:
· Operational Coordination: Coordinate core project milestones, work orders, service schedules, and field dispatching to support efficient operational flow.
· Communication & Intake: Manage incoming project requests, service inquiries, and client correspondence via phone and email, accurately logging all relevant technical details.
· Resource & Technician Dispatch: Prioritize assignments based on urgency, scope requirements, and technician skill sets,
ensuring field personnel are positioned for success.
· Project & Administrative Support: Work closely with Project Managers and Service Managers to track project progress, schedule site meetings, order materials, and prepare submittals or close-out packages.
· Customer Excellence: Act as a reliable point of contact for clients, general contractors, and facility managers by providing scheduling updates, status reports, and appointment confirmations.
· Documentation & Tracking: Maintain rigorous documentation by opening work orders, updating job logs, recording change directives, and managing project files.
· Financial & Billing Support: Assist accounting and project teams with invoice preparation, tracking work order approvals, and gathering time/material records for billing.
What You Bring to the Table:
· Coordination Background: 1+ years of experience in a project coordination, service dispatch, or operational administrative role (experience in skilled trades, construction, electrical, or mechanical environments is highly welcome).
· Technical & Software Tools: Proficient with Microsoft Office (Word, Excel, Outlook), collaborative calendars, and project management/ERP scheduling software.
· Multi-Tasking & Organization: Exceptional organizational abilities and detail orientation to manage competing priorities in a fast-paced multi-trade setting.
· Problem-Solving Mindset: A proactive approach with the ability to think on your feet, resolve scheduling bottlenecks, and adapt to shifting project demands.
· Communication Skills: Strong verbal and written interpersonal skills for clear, professional communication with internal departments, site crews,
and external clients.
· Team Player: Thrives in a collaborative team atmosphere where cross-functional alignment drives project success.

Compensation & Application Details
Job Type: Full-Time, Permanent (Multiple Positions Available)
Location: Markham Head Office (In-Person / On-site)
Salary Range: $55,000.00 to $70,000.00 CAD Annually (commensurate with relevant experience)
