We are looking for an Office Administrator for our Calgary studio to join our agile team.
We are looking for an individual with exceptional time management skills with the ability to multi-task and manage multiple deadlines, is detail oriented and possesses an intermediate level of administrative experience. Working as an integral part of the S2 Services team, the candidate must have strong communication skills, a positive attitude and a collaborative approach when working with colleagues, consultants and clients.
This position is critical to the running of the firm as it is the front face and voice of the firm and will provide exceptional customer service, both externally and internally in a professional manner. This role requires an individual to provide administrative support and work closely with all team members within all studios. The individual must be flexible, highly organized and be able to manage a variety of priorities and changing deadlines.
This position provides the potential to gain experience in a variety of administrative departments for an individual with a strong desire to expand their skills.
What you will require:
Education, Licenses & Certifications:
Proven ability using Microsoft Office Suite, including Outlook, Work, Excel, Power Point (essential)
Ability to use supplementary software such as Adobe Creative Suite (InDesign) (desirable)
Experience:
2-4 years of experience in administrative or related field
Experience within similar industry an asset
What You Will Work On:
Manage the reception desk, including receiving all inbound calls and greeting visitors to the firm.
Manage office upkeep and tidiness of kitchen and board rooms.
Maintain and manage studio inventory and ordering of supplies for all studios.
Provide administrative support in completing various administrative task as required.
Provide administrative support to principals and leadership team as required.
Prepare, receive and distribute all outgoing/incoming mail and couriers.
Coordinate catering for various meetings.
Manage off site storage filing and record keeping.
Administer job emails appropriately across all departments.
Manage travel for all studios as requested through travel agency.
Coordinate with building managers across all studios.
Coordinate social events across all studios.
Assist marketing department with monthly studio updates.
Assist in organization of various company events as required.
