The Memorial Coordinator compassionately guides families through the complete memorialization process, helping them select and design a fitting and reverent memorial for their loved one. The role manages bronze memorial markers, granite memorials, ceramic photos, engravings, memorial benches, and other relevant products, while performing the sales and service process, including design, contract preparation, production, delivery, and installation coordination. The Coordinator ensures that all memorials comply with cemetery policies and section requirements.
This is an prospect to serve families during an important moment of remembrance while supporting the mission of Catholic Cemeteries. The ideal candidate will bring compassion, attention to detail, and strong coordination skills to a role that blends service, design, administration, and relationship management.
Responsibilities
Administration and Design
Guide families through the complete memorialization process, including product selection, design, contract preparation, production, delivery, and installation coordination while providing exceptional and compassionate service;
Prepare quotations, contracts, layouts, approvals, payments, and follow-up documentation, ensuring names, dates, spelling, dimensions, inscriptions, emblems, photographs, and design details are complete and accurate before production.
Collaborate with the Family Service Advisor team, who will refer families requiring memorialization services, and manage these relationships through the cemetery CRM;
Ensure memorials comply with cemetery policies, rules and regulations before production and installation;
Follow up on prepaid memorials in transition and awaiting design;
Collaborate on promotional materials related to the memorialization program;
Perform other general administrative duties as required and directed.
Vendor, Production and Installation Coordination
Maintain excellent relationship with vendors ensuring quality assurance and timeliness of product delivery;
Research and identify new vendors and suppliers to expand product options, ensure competitive pricing, and maintain high standards of quality and service;
Communicate production information with families regularly and promptly;
Coordinate with vendors, suppliers, the grounds team, and internal staff to manage memorial orders from quotation and purchase order through production, delivery, storage, installation, correction, warranty claim, or repair.
Maintain accurate records of orders, approvals, invoices, delivery dates, installations and vendor communications;
Monitor vendor performance, including product quality, pricing, communication and delivery timelines;
Ensure the family is informed of memorial arrival and/or fulfillment promptly.
Community Outreach
Participates in promotional events such as Open Houses and ministry events such as the monthly Mass of Remembrance, rosary walks, etc.;
Participates in events that help to promote Catholic Cemeteries in the community.
Desired Skills and Experience
Diploma or degree in Administration, Project Management, or a related field;
Experience in production coordination, logistics, or a related role;
Proficiency in design software such as Adobe Illustrator, Inkscape, or similar programs;
Strong project management, organizational, and time-management skills;
Experience coordinating with suppliers, contractors, production teams,
and clients;
Knowledge of inventory management, order processing, quality assurance, and installation coordination;
Strong attention to detail and ability to coordinate multiple projects and deadlines simultaneously;
Excellent written and verbal communication, customer service, and negotiation skills;
Proficiency in Microsoft Office, CRM systems, and database management;
Ability to provide compassionate and professional service to families from diverse cultural backgrounds;
Excellent interpersonal and communication skills, including discretion, courtesy, compassion with grieving families;
Alignment to the values of compassion, reverence, hope and love; serving with an entrepreneurial and missionary spirit;
Knowledge of memorial products, cemetery regulations, and installation requirements is considered an asset.

Willingness to support the mission of the Church by extending the ministry of the Archbishop;
Exhibits fidelity to the teachings of the Roman Catholic church;
Ability to meet the Archdiocese of Vancouver’s Safe Setting policies;
Must be compliant with all applicable personnel policies.
This is a full-time (40 hours per week) position. Normal days of operation for Gardens of Gethsemani are Monday through Saturday. Your workdays will be determined by your supervisor and may change from time to time to meet the needs of Gardens of Gethsemani.
The position is based at Gardens of Gethsemani Cemetery in South Surrey; Occasional travel throughout the Archdiocese may be required;
Occasional evening and weekend work may be required;
Comprehensive benefits, including group extended health, dental, and pension plan;
Salary range: $55,000 - $67,000.
