The Role
Reporting to the Head of Comprehensive Dance Programs, the Administrator provides administrative coordination and operational support for NBS’s Comprehensive Dance Programs, including the Young Dancers Program and Adult Ballet Program. The Administrator plays a key role in ensuring programs are delivered efficiently, consistently, and in alignment with NBS policies and departmental priorities.
This position supports program scheduling, student records, reporting, communications, eventlogistics, and day-to-day administrative operations. As a primary point of contact for students, families, teachers, and other constituents, the Administrator provides responsive and professional customer service while ensuring inquiries and concerns are addressedin a timely manner. The role also works closely with internal departments and program leadership to coordinate information,maintainaccuraterecords, support events and performances, and contribute to the successful delivery of program activities.

Major Duties and Responsibilities
As Administrator, Comprehensive Dance Programs, you will provide administrative and operational support across the department, including:
Supporting the administration of Young Dancers Program and Adult Ballet class schedules, attendance tracking, auditions, assessments, and related student activities
Coordinating studio reservations, A/V setup, and other eventlogisticsasrequired
Maintaining departmental schedules, including meetings, travel, and other administrative commitments
Coordinating administrative requirements for performances and demonstrations, including student lists, schedules, casting information, chaperoninglogistics, and event documentation
Preparing student reports bycollecting,formatting, inputting, and editing teacher comments
Liaising with the Registrar’s Departmentregardingregistration, auditions, student records, and program information
Acting as a primary point of contact for students, families, teachers, and other constituents, providingtimelyand professional customer service
Responding to participant questions and concerns, following up on issues, and escalating matters to theappropriate staffmember whenrequired
Assistingwith departmental communications, reports, and administrative materials
Supporting the Head of Comprehensive Dance Programs with departmental priorities, projects, timelines, and administrative requirements
Coordinating administrative workflows andprovidingday-to-day guidance to part-time administrative staff and volunteers asrequired
Maintaining departmental records, filing and retrieval systems, and supplies inventory
Collaborating with internal departments to support website updates, marketing materials, and program communications
Supporting thetimelyprocessing of invoices and departmental expenses
Assistingwith performances, auditions, workshops,special events, and other program activities
Providing administrative and logistical support to artistic staff tofacilitatethe successful delivery of classes and program activities
Maintaining confidentiality and exercising discretion when handling participant and departmental information
Qualifications/Skills/Experience
More than anything, we are looking for someone who is organized, dependable, service-oriented, and passionate about supporting programs and creating a positive experience for students and families.
Some of the qualifications below are of particular interest:
Education:
Post-secondary degree or equivalent professional experience
Education, student services, office administration, or a related field considered an asset
Experience:
Minimum three years of experience in an administrative or related position
Experience with data entry, records management, reporting, and database systems
Experience providing customer or student service in a rapid-paced environment
Experience supporting events, programs, or multiple administrative priorities considered an asset
Skills & Abilities:
Strong organizational and time management skills, with the ability to manage multiple priorities and competing deadlines
Excellent communication, customer service, and interpersonal skills
Solid attention to detail and proofreading skills, with a commitment to accuracy
Proficiencywith Microsoft Office Suite
Familiarity with relational databases and database management systems considered an asset
Demonstrated professionalism, discretion, and ability tomaintainconfidential information
Strong problem-solving and judgement skills, with the ability toidentifywhen matters require escalation
Ability to work collaboratively with students, families, teachers, artistic staff, and internal departments
Flexible and adaptable approach to supporting program needs, including occasional evenings and weekends
Compensation:
Salary Range:$49,000annually,commensuratewith experience andalignedwith internal equity.

Sunday (8:45AM - 4:45PM) - Thursday (11:30AM - 7:30PM)
