Overview:
You will provide project coordination, administrative support, as well as organizational support to our accounting team
You will produce and maintain databases, digital filing systems, and other records
You will assist the accounting team with all administrative needs
You will participate in the overall department’s development of internal best practices, processes and procedures – your feedback and ideas will be valued to ensure proper communication between departments

Duties:
Coordinate client onboarding, including preparing engagement letters, setting up secure portal access, and providing document request lists
Prepare paper-filed tax returns and supporting documentation, assemble mailing packages, and ensure they are sent to the appropriate tax authorities and addressee
Prepare and maintain internal status reports to support the tracking of filing deadlines, submissions, and filing confirmations
Provide administrative, billing and AR support to the accounting team – meeting coordination, report and document preparation, other ad hoc tasks as needed
Handle general correspondence efficiently and proactively action any items requiring immediate attention
Prepare deliverables for clients and maintaining our client workflow and data base systems
E-file tax returns
Organize, scan, save and fax documents
Respond to client emails and correspondence, answer calls and communicate with clients
Support billing function as needed
Update client contact information in database and associated software
Qualifications:
1-3 years of administrative experience (with accounting experience preferred)
Post-secondary education
Experience in CaseWare or TaxPrep or other major accounting software is considered an asset
Knowledge of U.S. or Canadian tax filings is considered an asset
Experience in a professional services firm is considered an asset
Candidate must be trustworthy with sensitive client information, self-motivated and able to work in an unsupervised environment
Exceptional interpersonal skills, strong written and oral communication skills, analytical skills, organizational and planning skills
Attention to detail, self-starting, and action-oriented while regularly exercising independent judgment and seeing tasks through to completion
Proactive in project management
Intermediate to advanced skills in Microsoft Office
Comfortable learning new computer systems and technologies
Works very well under pressure and in a fast-paced environment
Works well independently and within a team setting
Capable of managing multiple tasks simultaneously
