About CCFHT
Cottage Country Family Health Team provides comprehensive, team-based primary care across South Muskoka. Our interdisciplinary teams work collaboratively with physicians and community partners to improve access, quality, and health outcomes for the communities we serve.
Position Summary
The ideal candidate is a proactive, highly organized, adaptable leader who thrives in a dynamic environment and is comfortable moving between executive support and operational leadership. They bring strong judgment, discretion, financial and administrative acumen, and the ability to manage competing priorities while building effective relationships across the organization.
Reporting to the Executive Director, the Manager of Operations is a key member of the leadership team and a trusted partner to the Executive Director. The role provides high-level executive support while leading corporate and administrative operations, including human resources administration, financial administration, facilities, organizational records, governance support, and supervision of CCFHT administrative staff. The position works collaboratively with the Manager of Primary Care Services who is responsible for leadership and development of all CCFHT programs and services and management of integrated health professional staff.
Key Responsibilities
Executive & Governance Support
Provide high-level administrative support to the Executive Director, including calendar management, meeting coordination, correspondence, presentations, briefing materials, and follow-up on organizational priorities.
Coordinate Board and committee meetings, including agenda development, meeting packages, minutes, action tracking, and maintenance of governance records.
Provides executive support to the Board Chair.
Manage sensitive and confidential information with professionalism, sound judgment, and discretion.
Support strategic initiatives, special projects, organizational events, and executive communications.
Operational Leadership & Administration
Lead the day-to-day administrative operations of CCFHT and promote consistent, efficient processes across all sites.
Develop, implement, and maintain administrative workflows, policies, procedures, filing systems, records, databases, contracts, and organizational documentation.
Coordinate data collection,
reporting requirements, and supporting documentation, including Ministry of Health/Ontario Health submissions and other funder or accountability reporting.
Coordinate communication and operational activities with staff, physicians, patients, vendors, community partners, and other stakeholders.
Provide direction and oversight to the Administrative Assistant to organize staff meetings, education sessions, team engagement initiatives, and other organizational activities.
Identify opportunities for operational improvement and support change management and implementation of organizational priorities.
Responsible for maintaining and ensuring all CCFHT policies and procedures are current and regularly reviewed and updated.
Human Resources
Coordinate recruitment and onboarding, including development of a staff orientation package.
Support employee records and performance review processes
Work with the bookkeeper to administer benefits, and leaves of absence.
Coordinate and facilitate employee training
Support staff engagement and occupational health & safety
Coach and develop administrative employees
Conduct performance reviews
Foster a positive team culture
*Integrated Health Professionals report to the Manager of Primary Care Services
Finance & Corporate Services
Support payroll and financial administration, accounts payable, invoice processing, account and credit card reconciliation, purchasing, and financial record keeping.
Support budget tracking, financial reporting, audit preparation, vendor management, and contract administration in collaboration with the Executive Director and finance partners.
Coordinate facility operations and maintenance across CCFHT sites, including equipment, supplies, service providers,and workplace needs.
Responsible for privacy administration, corporate records management, and technology coordination with external providers
Support the Executive Director and Manager of Primary Care with organizational performance monitoring, quality
improvement initiatives, accreditation activities, and operational metrics.
Identify efficiencies and opportunities to strengthen administrative services, internal controls, communication, and organizational systems.
Perform other duties as assigned by the Executive Direcgtor that support the effective operation and continued development of CCFHT.
Qualifications
Post-secondary education in business administration, health care administration, human resources, finance, public administration, or a related field; an equivalent combination of education and experience will be considered.
Minimum three to five years of progressively responsible administrative, operational, executive support, or leadership experience; experience in a health care or primary care setting is an asset.
Experience supervising staff and coordinating human resources, financial, or corporate administrative functions is strongly preferred.
Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint; experience with Microsoft 365/Teams/SharePoint and QuickBooks or similar accounting software is an asset.
Strong organizational, time-management, problem-solving, and project coordination skills, with demonstrated ability to manage multiple competing priorities.
Excellent interpersonal, written, and verbal communication skills, with the ability to work collaboratively in a fast paced, multi-site environment.
Professionalism, sound judgment, emotional intelligence, and discretion in handling confidential and sensitive information.
A proactive, solutions-focused approach and genuine commitment to supporting patient-centred, team-based primary care.
Valid driver’s licence and ability to travel between CCFHT sites as required.
