1st Class Front Desk Administrative Staff are responsible for administrative tasks and support of the program in accordance with Alberta’s Child Care Licensing Regulations and 1st Class Childcare’s policies and procedures.
The Front Desk Administrative Staff reports to the Assistant Director and Director.
Duties and Responsibilities
Greeting children and families when they enter the facility.
Check children into the appropriate program and ensure they notify the primary staff member of that child’s arrival.
Welcome current families, answer questions about the program and provide information about the registration process.
Tours of the facility in the absence of the director.
Check children in and out of the program according to 1st Class Childcare policies and procedures, ensuring all children are accounted for in each classroom/group.
Manage staff-children ratios by notifying primary staff members of a child’s arrival or departure.
Provide ratio support when needed, helping to cover breaks and absences.
Answer phone calls and relay important information when required to primary staff members or the director.
Manage drop-in reservations/bookings to ensure child/staff ratios are maintained.
Maintain a neat and organized front desk area.
Light housekeeping duties as required to keep the front entrance clean, which includes sweeping/vacuuming, mopping floors, cleaning/sanitizing door handles and high-touch areas.
Participate in regular staff meetings.
Enrollment and documentation management
Invoicing and accounts reconciliation.
Other duties as required by Director/Management.
Qualifications
Must have a flexible schedule and be available for all hours that the program is open and be available to cover shifts within the program
Must have a minimum ECE - Level 1 Certificate
Administrative Qualification or experience is preferred
Must have up-to-date Police Clearance with vulnerable sector or be able to complete one within 4 weeks of hire date
Must have a valid CPR and First Aid Certificate or be able to complete one within 6 weeks of hire date.
Experience and Additional Competencies
Must be proficient in computer program including in creating Spreadsheets, Microsoft Office Programs (Word, Excel and Outlook).
Excellent Oral and written communication skills.
Excellent interpersonal skills, public relations, and phone manners.
Ability to learn program information and systems for attendance and drop-ins.
Strong attention to detail.
Previous experience in providing customer service or front desk preferred but not required.
Physical Requirements and Work Environment
Fast-paced environment.
Able to lift weight of up to 50 pounds
Able to walk, bend, stand, squat or crouch to child’s level.
Able to physically respond quickly in an emergency.
