Mutual Funds Processing Associate

Job Summary

The Mutual Funds Processing Associate is responsible for the accurate and timely processing of approved documentation, including entering trade orders, clients, and plans into production systems while adhering to company policies, procedures, and regulatory guidelines. This role reports to the MF Processing Manager and works closely with the Compliance and Operations teams to meet daily service standards and workload expectations.

Key Responsibilities

- Review documentation for completeness and accuracy; interpret and process financial and non-financial transactions.

- Set up clients and plans within internal systems.

- Enter and process mutual fund trade orders.

- Investigate and resolve trade rejections and processing issues.

- Communicate with head office teams and fund companies to resolve inquiries.

- Liaise with advisors regarding client documentation and follow up in coordination with Compliance and Branch Management.

- Initiate and monitor external account transfers with other financial institutions.

- Track document flow across systems to ensure accuracy and completeness.

- Manage document storage,



including scanning and maintaining electronic files.

- Assist with departmental projects and provide team support as required.

- Experience with FundSERV, WinFund, VieFund, or trade processing is considered an asset.

Qualifications

- Minimum of two years of industry experience, or an equivalent combination of education and experience.

- Client services or administrative experience is an asset.

- Completion of industry-related courses is an asset.

- Post-secondary education (college or university) is an asset.
