Job Title: Office Administrator
Status: Full-time, Permanent
Location: Edmonton, AB (On-site, South Side)
Salary: $55K - $60K
We are seeking an Office Administrator to lead the administrative operations of a busy family law firm. You will be responsible for ensuring that the office runs smoothly and efficiently while managing multiple systems and priorities. This role requires strong organization, initiative, and problem-solving skills, with potential to grow into an Office Manager position with supervisory responsibilities.
What You Will Be Doing:
Administrative and Operations Management
- Coordinate and maintain all office systems, including filing, email, scanning, and document management.
- Manage office supplies, contracts, business cards, and letterhead inventory.
- Track firm marketing activities, donations, and promotions.
- Ensure confidentiality and maintain professional office decorum.
Financial and Bookkeeping Responsibilities
- Lead staff user for Unity (ESILaw) client management and bookkeeping software.
- Reconcile bank accounts, business credit card statements, and disbursement accounts.
- Manage accounts payable and issue cheques.
- Track credit card fees, post disbursements, and maintain bookkeeping binders.
- Monitor and reconcile client statements, legal aid billing, and closed accounts.
- Manage online payment platforms and banking transactions.
IT and Systems Coordination
- Coordinate IT support, including computers, software, and operating systems.
- Oversee software licensing, renewals, and related contracts.
- Ensure smooth integration between financial, administrative, and technology systems.
Human Resources and Office Support
- Assist with HR-related documentation and processes.
- Support staff needs, onboarding, and general administrative coordination.
- Provide backup support at reception when required.
Who You Are:
- University degree preferred; 2-year college diploma or equivalent work experience accepted.
- Minimum 2 years of administrative experience, preferably in a legal or professional office.
- Highly organized and detail-oriented with strong multitasking ability.
- Reliable, accountable, and proactive in solving problems.
- Strong commitment to work.
- Tech-savviness, particularly with Microsoft applications
- Excellent organizational skills.
- A proactive mindset and willingness to learn new systems.
- Professional communicator with strong written and verbal skills.
- Tactful, discreet, and empathetic in client interactions.
