Summary The Parts Clerk receives and processes orders using A-1 Rent-Alls’ inventory software and parts catalogues as necessary.
The Parts
Clerk performs a variety of clerical and customer service duties, including inventory management, purchasing, processing work orders, processing packing slips and invoices, providing price quotations, checking inventory for product availability, providing delivery dates to customers, and verifying prices. The parts Clerk must be able to work harmoniously with customers, the Sales department, the Service department, and other stakeholders to determine which parts orders should be prioritized and to gather all other necessary information for various transactions.

Clerk must load and unload shipments when required and must be capable of repetitive heavy lifting.

Clerk will be responsible for maintaining the cleanliness and organization of the parts area, and the Parts Clerk must identify when inventory runs low and needs to be ordered.

Clerk is expected to communicate with internal and external customers at the highest level using all available methods including Microsoft Teams, email, telephone, and Microsoft Teams.

Clerk will consult stakeholders in the event of any issues or complications pertaining to critical parts orders.

Job Duties
- Become fluent with Texada Rental Management Software, SRM and Texada Mobile.
- Assist with shipping and receiving, unloading trucks, checking in merchandise,
matching purchase orders to sales orders and distributing to sales associates for processing.
- Order parts as necessary, gathering information from customers, mechanics, salespeople, and other stakeholders to determine what needs to be ordered and how the orders should be prioritized.
- Receive inventory orders, notifying customers or internal members of parts arrivals as required.
- Sort and place inventory on shelves in accordance with established organizational methods.
- Ensure that parts area is accessible and safe for employee and customer traffic.
- Prepare and ship outbound parts orders as necessary.
- Ensure that inventory counts remain accurate and current by updating Texada as necessary.
- Drive to vendors to retrieve parts as necessary.
- May be assigned facilities' maintenance duties as needed.
- Organize work area for orderliness and cleanliness.
- Oversee and participate in the shipping, receiving, organizing, storing, and issuing of parts inventory.
- Process a variety of reports in written and electronic form (e.g. requisitions, paperwork, reports, work orders, etc.) for the purpose of disseminating information and/or materials to appropriate parties.
- Complete routine physical inventory counts as assigned.
- Respond to staff and customer inquiries, providing information and/or direction regarding the status of parts orders.
- Perform other duties as assigned.
Requirements
- High school diploma or general education degree (GED).
- Prior experience in parts, service, mechanics, or other related fields an asset.
- Ability to read and interpret documents such equipment schematics, parts diagrams, maintenance guides, and other technical material.
- Ability to document and catalogue information as necessary.
- Strong customer service skills. Must be able to communicate effectively and professionally via email, telephone, or instant messaging.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to perform repetitive heavy lifting.
- Able to effectively communicate efficiently both verbally and in writing.
- Basic mathematical skills.
- Knowledge of filling out waybills, bills of lading, and international shipments.
- Ability to weigh and measure items.
- Working knowledge of safe lifting methods.
- Able to work efficiently as a part of a team as well as independently.
- Computer literacy, including knowledge of Microsoft Office and Teams.
- Attention to detail in all areas of work.

Work Conditions
- Manual dexterity required to use desktop computer and peripherals.
- Overtime as required.
- Ability to lift or move up to 50 lbs frequently.
- Work is performed in a combination of environments.
- This position may be exposed to elements such as noise, dust, odours, fumes, and oils.
- Frequent standing, walking, stooping, kneeling, crouching, and crawling.
