Executive Assistant to the President & CEO | British Columbia Chamber of Commerce

- Reporting to: President & CEO
- Hours: 25 hours per week, Monday–Friday, 9:00am – 2:00pm (or similar)
- Type: Permanent, part-time
- Location: Remote, within British Columbia
- Compensation: $47,000 – $60,000 (for 25 hours/week)

About this role

The Executive Assistant makes the CEO's time work and holds the internal machinery underneath her: the board calendar, the governance record, the financial reporting, the commitments that cannot be allowed to slip. You will see everything that crosses the CEO's desk and be trusted to decide what reaches her. If you have done this well before, you already know the job is judgment, not administration.

What you will own:

Time and access

- Own the CEO's calendar end to end, including the judgment calls about what gets protected and what gets moved
- Manage competing requests from board members, government offices, network chambers, partners, and staff — and decide what reaches the CEO
- Screen and triage inbound invitations, speaking requests, and chamber visits, and run the accept/decline pipeline
- Build the daily and weekly rhythm that keeps commitments from slipping

Correspondence and follow-through

- Triage the CEO's inbox; draft and send routine correspondence in her voice
- Track commitments made in meetings and close the loop on them without being asked




- Maintain the follow-up system that ensures nothing raised with the CEO is dropped

Board and governance

- Maintain the annual board and committee calendar
- Coordinate the preparation, packaging, and distribution of board and committee materials
- Track motions, resolutions, and follow-up actions through to completion
- Manage the logistics of board and committee meetings
- Keep governance documentation and policies current and accessible
- Serve as the working point of contact for the Board Chair

Financial reporting and reconciliation

- Reconcile invoices and payments across the Chamber's systems
- Produce the monthly financial reporting package for the CEO and the Board
- Work alongside the bookkeeper to keep financial processing accurate and current
- Support the annual audit through document flow and scheduling
- Prepare and submit the CEO's expenses

Contracts, vendors, and facilities

- Maintain the contract register — where signed agreements live, what they commit us to, and when they renew
- Hold the working relationship with the Chamber's IT provider and route issues to resolution
- Manage office facilities, equipment, and vendor logistics

Meeting and travel preparation

- Prepare the CEO for meetings: background, prior correspondence, who is in the room, what was last discussed
- Prepare briefing notes ahead of government, board, and partner meetings
- Take and circulate minutes for the CEO's meetings
- Arrange travel and build itineraries

Information management

- Maintain accurate records of the CEO's key relationships and contact history




- Hold the recurring deadline calendar: AGM, board cycle, audit, policy process
- Keep the CEO's files, documents, and reference material organized and findable
- Handle confidential information — board, personnel, financial, government — with complete discretion

About you

You have supported an executive leader and you are comfortable at that altitude. You read a room, you know when to interrupt and when not to, and you have a well-developed instinct for what an executive needs before they ask for it.

You are direct. You will tell the CEO when something has been forgotten, when a commitment is at risk, or when the calendar has been overcommitted.

You work independently. In an organization this size there is no one to check your work, and you do not need anyone to.

You are discreet. Board deliberations, personnel matters, financial information, and government conversations pass through you and stop there. You are organized enough to hold a lot in a system rather than in your head.

Experience

- Demonstrated experience supporting a senior executive
- Board or governance support experience is a strong asset
- Comfortable with financial administration and reporting, including reconciliation and preparing reporting packages
- Strong written communication, including drafting on behalf of an executive
- Confident with Microsoft 365, including SharePoint, Teams, and Outlook
- Comfortable in an organization that is building its systems rather than maintaining them

Compensation and benefits

- $47,000 – $60,000 (for part time, 25 hour work weeks)
- Three weeks paid vacation, prorated in the first year
- Paid office closure between Christmas and New Year's
- Extended health and dental perks following three months of continuous employment, with premiums shared 50/50
- Additional unpaid time off available by mutual agreement, including during summer and school breaks
