Our client, a growing professional services firm, is seeking an Administrative Assistant to join their team on a part-time basis as an incremental hire. This is an excellent opportunity for a highly organized and detail-oriented professional who enjoys working behind the scenes to keep operations running smoothly. Supporting leadership and a broader professional team, you will play a key role in managing client documentation, coordinating administrative workflows, and ensuring a high standard of client service in a collaborative, remote-first environment.
Responsibilities:
- Prepare, collate, and distribute draft and final client packages in a timely and accurate manner.
- Maintain organized and up-to-date client files and documentation.
- Follow up with clients regarding outstanding information and required documentation.
- Respond to inquiries and requests professionally and efficiently.
- Assist with client communications using established templates and processes.
- Ensure all correspondence and client-facing materials are accurate and professionally presented.
- Maintain the accuracy and integrity of workflow management and contact management systems.
- Update and manage client records, documents, and related administrative systems.
- Prepare and edit internal and external correspondence, including letters, memos, and email communications.
- Monitor workflow progress to ensure deadlines and service standards are consistently met.
- Support process improvements and contribute to maintaining efficient administrative procedures.
- Provide administrative support to leadership and other members of the professional team.
- Collaborate with colleagues across various functions to facilitate smooth day-to-day operations.
- Assist with additional administrative projects and responsibilities as required.
Qualifications:
- College diploma or university degree preferred.
- 3-5 years of administrative experience within a professional services environment, ideally in accounting, legal, financial services, or a similar industry.
- Advanced proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Strong working knowledge of Adobe Acrobat/PDF tools.
- Experience with DocuSign and Microsoft OneDrive.
- Experience with CaseWare, TaxPrep, or similar software is considered an asset.
- Experience supporting multiple stakeholders in a fast-paced environment.
- Exceptional attention to detail and commitment to accuracy.
- Strong organizational, prioritization, and time management skills.
- Excellent verbal and written communication skills.
- Ability to exercise sound judgment, initiative, and discretion when handling confidential information.
- Working knowledge of bookkeeping principles is considered an asset.
- Strong problem-solving skills and the ability to work both independently and collaboratively.
- Proactive, reliable, and adaptable with a solid sense of accountability.
Work Environment:
- Part-time position (approximately 18-22 hours per week).
- Flexible schedule during regular business hours.
- Primarily remote environment with occasional in-person meetings.
- Additional hours may be required during peak periods, particularly during tax season.
