Perform administrative tasks: answer inquiries about the programs/projects; file documents; produce documents and spreadsheets; prepare and/or assist with presentations, marketing, reports and surveys; order office/program supplies and maintain inventory; code invoices; enter/record financial data and other data
Respond to client and community partners' inquiries in a timely manner
Support clients: register them; maintain client records; provide information/referrals and orientation; additional support as assigned
Promote program to interested clients, answer client questions regarding the program participation, and register clients using appropriate database and procedures
Assist with client intake and coordinating workshop logistics details
Provide administrative support for reports, client intake information, workshop attendance, and forms
Maintain confidentiality in all matters related to client/student information
Provide general orientation to the facilities for clients/community partners/stakeholders both in person and over the phone
Perform administrative duties related to the program or project, as assigned.
Requirements
Office Management/Business Administration diploma/certificates and/or appropriate combination of experience and training
1-2 years' relevant administration experience
A current and satisfactory Criminal record check is required
Excellent administration skills with some experience in data management
Proficient computer skills in word processing, spreadsheets, database, and standard office equipment
Good verbal and written communication skills
The ability to speak other languages will be considered an asset
Knowledge about mental health needs
Excellent coordination skills, effective organizational abilities: able to set priorities and meet deadlines; able to multi-task
Able to work independently and with a team
Must possess sound judgement and initiative
Cultural sensitivity and understanding of the needs of diverse clients with mental health issues
