Job Description Key Responsibilities Perform general clerical duties, including filing, document preparation, faxing, and report generation. Communicate pertinent information to staff, residents, visitors, and leadership as required. Coordinate and support PSW and nursing student placements by liaising with schools, assisting with onboarding documentation, coordinating schedules, tracking placement requirements, and supporting communication between students, educators, and the care team. Supports/backs up the Operations Manager and Scheduling & Attendance Coord roles. May conduct tours of the home for prospective residents, families, and visitors, providing accurate information and a welcoming experience in collaboration with leadership.
Resident Records & Clinical Support Maintain and update resident files and records, including current and discharged resident charts, in‑service attendance records, and related documentation. Assist with resident information on laboratory requisitions and distribute lab reports and nursing forms to units as required. Support the admission of new residents by assisting with administrative processes, documentation, orientation to the home, and coordination with the interdisciplinary team as required. Prepare, posproducts on units. Process orders and requisitions; receive, stock, and distribute supplies as required.
Professional Practice & Compliance Adhere to departmental and organizational policies and procedures related to fire safety, infection prevention and control, occupational health and safety, and quality assurance. Promote resident satisfaction and support continuous quality improvement initiatives. Demonstrate knowledge of and promote the Resident Bill of Rights/Governing Principles. Work in a position of trust with vulnerable adults (residents). Perform other related duties as assigned.
Qualifications Secondary School Graduation Diploma required; post‑secondary education in business, office administration, or human resources preferred. Minimum of 2 years of experience in a long term care, healthcare, or medical office setting preferred. Strong verbal and written communication skills, with the ability to present information clearly and effectively in person, over the phone, and in writing; demonstrates active listening and a courteous, professional demeanour. Excellent organization, interpersonal and communications skills Excellent computer skills and demonstrated experience with Microsoft Office (Excel, Word,
PowerPoint, Teams, Outlook) Ability to work independently and as part of a team. Understanding of long-term care and geriatric care considered an asset. Working knowledge of collective agreements in a unionized environment considered an asset. Ability to work flexible schedule, including every other weekend. Must provide a current (within six months) Vulnerable Sector Check, including a Criminal Background Check, or be willing to obtain one.
